The position of Campus Visit & Events Coordinator within the Enrollment and Admissions department is a pivotal role designed to enhance the recruitment experience for prospective students and their families. Reporting to the Director of Student Recruitment, this full-time, on-campus role requires occasional evening and weekend availability to meet the dynamic needs of visit programming and event coordination. The Coordinator will be responsible for designing, planning, and executing strategic campus visit programs and special events that effectively highlight the academic majors, internship opportunities, and career pathways that align with students’ interests and career goals. This role is essential in connecting prospective students with the rich academic resources, faculty expertise, alumni network, and career services that William Jewell College offers.
Key responsibilities include managing a variety of visit formats such as group tours, individual visits, admitted-student events, and overnight stays, ensuring these experiences are welcoming, accessible, and safe. The Coordinator will develop major-specific open houses, career nights, industry panels, shadow days, and tailored programming for underrepresented student groups, transfer students, and high-priority markets. Collaborative work with academic departments, Career Services, alumni relations, and student organizations is critical for designing content that showcases real-world career pathways and experiential learning opportunities, strengthening the College’s recruitment efforts.
In addition to visit programming, this role serves as a key logistical partner for major College-wide ceremonies and academic events, including Cardinal Day, Commencement, Honors Convocation, the Duke Colloquium, and the Nursing Pinning Ceremony. Responsibilities include handling event logistics such as scheduling, registration, materials preparation, campus tour guides coordination, transportation, catering, audiovisual necessities, and budget management. The individual in this role will also support communications and marketing efforts related to events, ensuring outreach through emails, websites, social media, and print materials remains consistent and effective. Training and supervising student ambassadors, tour guides, and event staff to deliver career-aligned messaging is an essential aspect of the position.
Success in this role is measured by increased attendance, engagement, and satisfaction among prospective students at career-focused events, measurable yield improvements, strong partnerships across campus and alumni networks, and timely data-driven reporting. This position is funded through a five-year grant, with the potential for continuation based on institutional needs and funding availability, providing an exciting opportunity for motivated professionals to contribute meaningfully to the College’s enrollment goals and student success initiatives.

Job Requirements
- Bachelor’s degree
- minimum 2 years experience in higher education admissions or event planning
- strong project-management and organizational skills
- excellent communication and public-speaking ability
- ability to collaborate effectively with diverse campus and external stakeholders
- proficiency with event registration and CRM software
- willingness to work evenings and weekends occasionally
- ability to travel locally

Job Qualifications
- Bachelor’s degree required
- 2+ years experience in higher education admissions, campus visit and event planning, outreach, or related roles
- experience developing programs connecting academic majors to internships, careers, or employer partnerships preferred
- strong project-management skills with experience coordinating multiple events and stakeholders
- experience in project-management or coordination in career services, employer networking, or alumni engagement preferred
- excellent written and verbal communication and public-speaking skills
- comfortable working with students, faculty, staff, alumni, and external partners
- experience using event registration and CRM systems and standard office and AV technology
- knowledge of enrollment management practices and yield strategies preferred
- ability to work occasional nights, weekends, and to travel locally
