Job Description

The Campus Life Events Coordinator position at Sacramento State is a temporary, full-time role dedicated to overseeing, coordinating, and producing professional educational projects and special events that enhance student engagement and community involvement. Reporting to the Communications and Program Specialist and the Associate Vice President for Campus Life, the coordinator plays an integral part in managing large-scale events such as the annual "Arrive to the Hive" student engagement series, as well as other Campus Life initiatives. This role requires a proactive, detail-oriented individual committed to delivering high-quality customer service and seamless event experiences.

The coordinator is responsible for developing event concepts, planning programs, negotiating with vendors and service providers, managing event logistics, and ensuring that events are executed smoothly within established budgets. They will collaborate closely with internal and external stakeholders to create clear event specifications and contracts, monitor the progress of service providers, and maintain ongoing communication to address challenges or adjustments needed. The position demands the ability to manage multiple events and projects simultaneously under varying stages of development, requiring strong organizational skills and the ability to prioritize competing deadlines.

Sacramento State offers a competitive monthly salary range for this classification, starting at $5,079 up to $7,399, with actual placement dependent on qualifications and experience. The position is exempt from overtime and requires work hours from Monday to Friday, 8:00 a.m. to 5:00 p.m., with occasional weekend and evening hours based on departmental needs.

Job Requirements

  • Equivalent to a bachelor's degree in a related area
  • Four years of relevant experience
  • Ability to work evenings and/or weekends as needed
  • Ability to occasionally lift and carry up to 25 lbs
  • Ability to pass a background check
  • Proactive and responsive work ethic
  • Strong problem-solving skills with the ability to anticipate and address issues
  • Ability to work independently and collaboratively
  • Maintain confidentiality in communication and operations

Job Qualifications

  • Bachelor's degree or equivalent experience in a related field
  • Four years of relevant experience in complex and large-scale event planning
  • Experience with student-centered programs or ceremonies
  • Demonstrated ability to perform high-quality, customer-focused, and detailed work
  • Excellent interpersonal and communication skills
  • Strong organizational and multi-tasking abilities
  • Proficient in standard office software such as Microsoft Word and Excel
  • Ability to independently plan, organize, and coordinate events
  • Experience providing lead work direction to volunteers, interns, or student assistants

Job Duties

  • Oversee and coordinate professional education projects and special events including the annual "Arrive to the Hive" event
  • Develop and implement event concepts and program development
  • Manage event planning details including negotiation and contracting with service providers
  • Monitor service providers to ensure quality standards and budget compliance
  • Coordinate multiple simultaneous events with competing deadlines
  • Maintain strong client relationships and regular communication with stakeholders
