As a Campus Events Assistant, the incumbent acts as a generalist responsible for managing all phases of event planning. The position ensures effective communication between clients and campus service providers like catering, audiovisual services, and facilities management to guarantee each event meets client expectations and university standards.

In addition to regular event coordination, this role plays a crucial part in supporting summer camps and conferences held at the university. Tasks include coordinating camp logistics such as housing check-ins, meal services, room keys, and serving as the liaison between camp organizers and university departments responsible for training and compliance. Job Duties

  • assist with intake and processing of event reservations through the university's event management system for both internal and external inquiries
  • collaborate with campus events team, faculty, staff, students and community members to execute details and provide on-site support related to assigned events and conferences
  • conduct walk-throughs and pre-event consultations to ensure understanding of client needs
  • serve as a liaison between clients and campus service providers such as catering, facilities, audiovisual services
  • provide on-site support during events including setup, execution, troubleshooting and tear-down
  • coordinate table reservation for external vendors on campus
  • support event registration for campus events as applicable
  • complete formal end-of-summer evaluations providing comprehensive feedback on areas for improvement and program strengths
  • prepare, maintain and process all forms and paperwork accurately and promptly
  • monitor events to ensure policy compliance and provide customer service as needed
  • coordinate and process summer camp requests
  • serve as a point of contact for summer camp organizers and participants
  • liaise with university departments to share information related to training requirements for programs with minors on campus
  • assist with housing check-ins/outs, meal coordination, room keys and other logistics
  • provide welcoming and efficient customer service to ensure a positive guest experience
  • coordinate with campus services and residence life as needed for camp support
  • perform other duties as assigned
