The Account Coordinator role within the operations department is a critical position responsible for managing all facets of operations related to tour reception, gifting, and contracts, ensuring adherence to the company’s Standard Operating Procedures. This role requires a professional individual who can successfully engage with guests, support sales and marketing teams, and maintain meticulous records and data management practices. The coordinator is tasked with delivering exceptional customer service, handling guest inquiries, distributing premiums, and ensuring proper documentation and contract management. This position demands attention to detail, effective communication skills, and the ability to collaborate with multiple departments including Sales, Marketing, Human Resources, and Resort teams.

As an Account Coordinator, the individual plays an integral role in coordinating tours by greeting and qualifying guests, assigning tours to sales agents, and managing contract preparations for property owners. They are also responsible for validating and reconciling all tour and gifting data, maintaining property owner information in line with privacy standards, and providing administrative support to ensure smooth operational flow. There is no travel required for this position, and it operates with a measure of autonomy while being subject to daily and periodic reviews for accuracy.

Job Duties

  • Greet and qualify touring guests
  • collect and validate all guest information
  • assign tours to sales agents and provide information to sales and marketing department as necessary
  • provide exceptional customer service to all guests
  • answer phones and guest questions in a professional manner
  • assist property owners with contract questions or concerns
  • distribute premiums to guests upon closure of presentations
  • complete daily gift, tour and contract reconciliation in all systems
  • data entry of all tour and gifting information into Central Reservations Systems / Epiphany system and running of reports
  • prepare and balance cash, down payments, site stats for contract department
  • file and secure all documents per procedures
  • maintain property owner information per PII and PCI standards
  • prepare timeshare sales contracts for sales department and property owners
  • assist administrative supervisor in support of sales staff
  • prepare and maintain legal documents
  • assist supervisor to provide additional administrative support to internal departments including sales, marketing, HR, and resort teams
  • perform other duties as needed
