Job Requirements
- Associate's degree or 3+ years of relevant work experience
- previous experience working in a professional office, business setting, or supporting executive positions
- experience with Microsoft Suite preferred
- ability to work extended hours when necessary to support business events or projects
- ability to travel up to 10%
- ability to lift up to 20 lbs

- previous experience in a professional office, business setting, or supporting executive roles
- proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and SharePoint at a basic level
- experience managing schedules, appointments, meetings, and events efficiently
- ability to create and maintain accurate records and reports
- strong organizational and multitasking skills
- excellent communication abilities for coordinating with various stakeholders
- ability to follow established processes and seek improvements
- demonstrated reliability and follow-through in completing tasks on time
Job Duties
- Coordinate and prioritize meetings by finding viable dates and organizing meeting rooms and logistics
- handle travel logistics and arrangements including transportation and accommodations
- organize and host internal town-hall-style meetings using modern video conferencing platforms
- support cost and expense management of SHI Service Leader activities
- plan and coordinate in-house or off-site events such as celebrations, conferences, client meetings, and team huddles
- collaborate with Marketing and Events teams and stakeholders to ensure compliance with expense and branding guidelines
- provide support to the Charlotte Site Coordinator on office policies and procedures
- coordinate maintenance activities related to local equipment and facilities
- manage shipping, receiving, and mail/package distribution
- serve as liaison for facility management vendors including cleaning, catering, and security services
- act as a local point of contact among SHI Service leadership and team members
- organize, plan, and schedule various aspects of projects or events
- serve as the primary point of contact for teams and stakeholders
- assist management with setting deadlines and assigning responsibilities
- monitor project progress and ensure timelines are met
- prepare and present project status reports
- manage budgets and track expenditures to maintain financial alignment
- adapt to changing project demands and resolve issues
- encourage and support team members to meet project goals
- coordinate with vendors and third-party providers for outsourced services
- collect and analyze feedback to gauge project success and recommend improvements
