We are seeking a dedicated and detail-oriented Brokerage Support - Commercial Real Estate professional, known internally as a Client Services Coordinator. This role is critical in supporting brokers and clients by managing a variety of administrative, project coordination, and client-facing responsibilities. The Client Services Coordinator ensures the smooth operation of business units by delivering high-level administrative support and facilitating project workflows. Candidates who thrive in a fast-paced environment, possess strong organizational skills, and demonstrate a commitment to accuracy will find this role both challenging and rewarding.

The ideal candidate will have at least one year of administrative or coordination experience, preferably within commercial real estate, though this is not mandatory. Proficiency in CRM systems, a strong technical aptitude, and advanced Microsoft Office skills are essential for success. This position requires managing multiple projects and deadlines efficiently, supporting marketing efforts including proposal development, ensuring precise document control, and maintaining excellent communication with clients. This is a full-time position that requires authorization to work in the United States, with no visa sponsorship provided. Job Qualifications

Job Duties

  • provide high-level administrative and operational support to business units
  • manage and prioritize multiple projects, deadlines, and action items across teams
  • coordinate and schedule meetings, appointments, and team activities
  • oversee CRM database management, ensuring accuracy and organization across multiple audiences
  • handle deal processing, transaction support, and invoicing
  • maintain files, records, and documentation with a high degree of accuracy and attention to detail
  • ensure quality control by reviewing documents for accuracy, spelling, grammar, and formatting
  • coordinate and support the execution of marketing campaigns, including scheduling, list management, and reporting
  • assist in the development and coordination of proposal materials and client presentations
  • create and format professional materials, including presentations, charts, graphs, and Excel-based reports
  • edit and proofread marketing and business documents to ensure consistency and quality
  • conduct basic market and competitor research to support business development efforts
  • serve as a key point of coordination for client communications and deliverables
  • liaise with clients to gather information, schedule meetings, and ensure timely follow-up
  • support client-facing initiatives with a high level of professionalism and responsiveness
  • provide additional support as needed to ensure a seamless client experience
