The Brokerage and Marketing Coordinator position, internally known as Client Services, plays a critical role in supporting an assigned team of Office Services brokers specializing in tenant representation and landlord representation. This professional is the key resource for delivering exceptional marketing and administrative assistance, facilitating various aspects of commercial real estate transactions and marketing efforts. The Coordinator’s responsibilities include designing marketing materials such as broker opinion of value (BOV) documents, listing flyers, property signage, and tour books primarily using Adobe InDesign. This role demands a keen eye for detail to ensure the highest quality marketing collateral, both in print and online, representing the properties and services of the brokerage team.
Beyond marketing, the Coordinator assists in financial and transactional processes, including entering closed deals for invoicing, sending invoices, and tracking commission payments. The individual also prepares lease proposal comparisons leveraging Excel and InDesign, crafts eblasts, and curates social media posts that enhance the visibility and client engagement of the broker team. Additional duties include managing brokers’ biographies, handling expense reimbursements and third-party invoices, scheduling and hosting team or client meetings, and managing transaction documents and file organization. The role requires strong multitasking abilities to prioritize workloads effectively and meet deadlines while maintaining high standards of work quality.
Ideal candidates bring 2-3 years of experience in administrative and/or marketing support within the commercial real estate industry. Proficiency in Adobe InDesign is essential, with additional skills in Adobe Photoshop and Illustrator considered a plus. Familiarity with Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint is expected. Excellent communication skills—both oral and written—along with outstanding organizational and prioritization capabilities, are crucial for success in this position.

Job Duties
- Provide comprehensive marketing and administrative support to office services brokers
- create BOVs, pitches, listing flyers, property signage, surveys, tour books, and other design tasks mostly in Adobe InDesign
- maintain and update print-ready versions of marketing collateral and online marketing of listings
- enter closed deals for invoicing, send invoices, track commission payments
- complete lease proposal comparisons in Excel and InDesign formats
- create eblasts and social media posts
- manage brokers bios, submit expense reimbursements and third-party invoices, schedule and host team and client meetings
- prioritize workload appropriately to meet competing deadlines and multiple stakeholders
- perform reviews of externally focused deliverables for the team ensuring best in class work
