The Booking Manager role at Toyota Arena represents a unique opportunity to be part of this dynamic environment. Reporting to the Director of Booking, the Booking Manager plays a vital role in securing and developing an extensive range of events at Toyota Arena and ONT Field. This salaried, exempt position offers competitive compensation ranging between $90,000 and $105,000 annually, depending on experience. The ideal candidate is highly motivated, organized, and has excellent interpersonal skills to build and maintain strong relationships with agents, promoters, managers, and producers within the live event industry.

The successful Booking Manager initiates and manages the booking process, working diligently to keep the venues’ calendars full with concerts, non-concert events, family shows, and other performances. The role involves proactive research to support booking efforts, collaboration with internal departments to enhance the overall artist and tour personnel experience, and attendance at key industry conferences such as IEBA and Billboard to foster relationships and gain industry knowledge. Strong negotiation skills are essential, as the Booking Manager will handle deal points in event license agreements to best serve the venues' interests while ensuring positive client relationships to encourage repeat business.

The Booking Manager is also responsible for administrative duties such as maintaining detailed event folders, preparing promotional materials, monitoring ticket sales, and analyzing operational and financial data post-events to continually refine event success and venue profitability. They work with a wide variety of stakeholders both inside and outside the organization and must be flexible regarding working hours, including nights, weekends, and holidays as required by event schedules.

Job Duties

  • Work with agents, managers, promoters, and producers to book concerts, non-concert events, family shows, and other venue content to maintain a full calendar of events
  • Establish and maintain relationships with key touring industry professionals including agents, managers, promoters, and producers
  • Manage booking calendar by adding, editing, or removing events and event holds and respond to building availability requests in a timely manner
  • Research and prepare data supporting booking efforts for a variety of events
  • Collaborate on creating memorable venue experiences for artists and tour personnel
  • Attend industry conferences to gain knowledge and build relationships
  • Generate new business through cold-calling, attending industry events, and setting up local meetings
  • Monitor ticket counts and final show ticket counts
  • Compile and maintain all event show folders including contracts, certificates of insurance, and correspondence
  • Assist in the preparation and design of promoter guides, advertisements, and promotional materials
  • Develop and maintain productive working relationships with all venue departments
  • Promote creative use of venue spaces to increase bookings
  • Negotiate deal points in event license agreements as necessary
  • Maintain positive working relationships with clients before, during, and post-event
  • Assist and coordinate development of annual operating calendar, activity schedules, and reports on attendance and revenue projections
  • Conduct post-event operational and financial reviews and analysis
  • Represent the booking team and venues at live events
  • Provide administrative support to the department as needed
  • Process complex and confidential documents related to booking and venue operations
  • Maintain departmental historical data and records for venues
