The Albuquerque Convention Center, managed by Legends Global, is seeking a dedicated and experienced Booking & Box Office Manager to oversee its Sales & Marketing department. This role, reporting directly to the Director of Sales & Marketing, is a salaried, exempt position that requires exceptional organizational, customer service, and communication skills. The Booking & Box Office Manager will be the central figure responsible for negotiating and contracting events for the Albuquerque Convention Center, Kiva Auditorium, and Civic Plaza. Responsibilities include managing all aspects of event bookings, coordinating with clients such as promoters, agents, and managers, as well as overseeing ticket sales and box office operations. This role demands proficiency in venue booking software (Momentus Enterprise), ticketing platforms like Ticketmaster, and strong knowledge of accounting principles related to event settlements.

The manager will generate prospects, manage holds, proposals, and contracts for various ticketed events ranging from concerts to large-scale tradeshows and festivals. They will conduct facility tours for prospective clients, establish and maintain networks with industry professionals, and negotiate venue agreements ensuring all contracts meet client specifications. Communication is vital as the manager must coordinate with multiple internal departments including Event Services, Food & Beverage, Finance, and Management to ensure successful event execution.

Additionally, the manager is responsible for building ticketed events in Ticketmaster, managing ticket pricing, seating arrangements, and special promotional offers. They will oversee ticket sales monitoring, process complimentary tickets, and manage daily box office staff activities including hiring, training, and scheduling. Excellence in customer service is crucial, as the manager addresses customer inquiries and resolves complaints efficiently and courteously. The ability to handle cash transactions accurately via POS systems, maintain ticketing equipment, and finalize event settlements by collaborating with show promoters and internal departments forms an integral part of this role.

This position is ideal for someone with at least three years of related experience, a background in accounting and customer service, and preferably a Bachelor’s degree. Experience in box office operations, ticketing platforms like Ticketmaster, marketing, graphic designing, and media buying is highly desirable. The role requires flexibility to work nights, weekends, and holidays in addition to normal business hours. Job Duties

  • Manage and generate prospects, holds, proposals, contracts, and addendums for all ticketed events
  • Contact prospective promoters, agents, managers and individuals to initiate the sales effort
  • Conduct facility tours for prospective clients
  • Establish and maintain network of promoters, agents and manager representatives to contract booking opportunities
  • Ensure contractual agreements are met and event requirements are fulfilled on time
  • Negotiate venue deals with promoters and agents
  • Monitor and maintain master facility calendars
  • Read and understand show offers
  • Input and maintain all events and event holds into reports
  • Provide booking expenses, venue specs, and availability to clients
  • Communicate with Event Services, Food and Beverage, Sales, Finance and Management departments
  • Maintain contact with entertainment promoters and booking agents through booking process
  • Maintain entertainment event show files including audits, seating maps, contracts and necessary documents
  • Attend trade shows and meetings to generate booking prospects
  • Build ticketed events in Ticketmaster and coordinate with promoters and tour managers
  • Communicate with ticket company representatives for updates and revisions
  • Establish ticket pricing, seating configuration, and special offers with event promoters
  • Manage ticket pricing on Square system
  • Input events into ticketing company servers
  • Monitor daily ticket sales and communicate with venue staff and promoters
  • Process complimentary ticket requests
  • Provide excellent customer service and respond promptly to customer needs
  • Handle box office questions independently
  • Respond to inquiries about prices, seating and events
  • Address customer complaints and maintain positive rapport
  • Hire, supervise, instruct and train ticket sellers
  • Schedule and manage box office staff during events
  • Dispense tickets and accept payments via Square POS
  • Order box office supplies
  • Maintain ticket printers and scanners
  • Manage settlement of all ticketed events
  • Assist with collection of pre-settlement documents and audit reports
  • Finalize settlements and file documents appropriately
