The Birmingham-Jefferson Convention Complex (BJCC) has been a cornerstone of entertainment and event hosting for more than 50 years, serving as a premier destination in Birmingham, Alabama. Located in the heart of Birmingham's Uptown Entertainment District, this expansive complex spans multiple unique venues including the Legacy Arena, Coca Cola Amphitheater, Protective Stadium, BJCC Concert Hall, and the BJCC Theatre. The BJCC also boasts over 220,000 square feet of meeting and exhibition spaces, complemented by City Walk BHAM — a vibrant 31-acre public outdoor area featuring amenities such as a dog park, pickleball courts, and a skate park, among others. The Booking Administrator role at the BJCC is integral to the smooth scheduling and management of events across all BJCC venues. This full-time position demands a detail-oriented and results-driven professional who will manage the activity calendar, oversee contract administration, develop deal memos, and generate booking reports for venues like Protective Stadium, Legacy Arena, BJCC Concert Hall, and the BJCC Theatre. The Booking Administrator acts as a crucial liaison between internal departments and external partners such as event promoters, artists' agents, and tenant groups. This role not only requires exceptional organizational and communication skills but also demands proficiency with calendar and contract management systems, along with a strong ability to coordinate multi-venue bookings efficiently. The candidate must be adaptable to a fast-paced environment with flexible hours that may include nights, weekends, and holidays. Job Requirements

  • Minimum of three years related experience in entertainment, sports or performing arts
  • Bachelor's degree from an accredited college or university preferred
  • Valid State of Alabama Driver License required
  • Strong communication and interpersonal skills
  • Ability to manage multi-venue calendar systems and contracts
  • Proficiency in Microsoft Office Suite
  • Ability to work flexible hours including nights, weekends and holidays
  • Detail oriented and extremely organized
  • Ability to multi-task and coordinate large projects
  • Critical thinking and time management skills
  • Ability to work independently and under pressure

Job Qualifications

  • Bachelor's degree from an accredited college or university preferably in marketing, mass communications, sales, business administration or related fields
  • Minimum of three years related experience in entertainment, sports or performing arts organizations preferred
  • Valid State of Alabama Driver License
  • Passion for live entertainment and events
  • Working knowledge of venue management including sales, marketing, ticketing, and event operations
  • Expertise in calendar management for multi-venue environments
  • Excellent communication skills with all organizational levels
  • Ability to work independently without continuous supervision
  • Strong relationship-building skills
  • Ability to work effectively under pressure
  • Professional, personable and outgoing personality
  • Proficient in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel, Teams)

Job Duties

  • Manage booking and scheduling for all entertainment, sports and special events across multiple venues
  • Efficiently manage activity calendar ensuring optimal utilization and coordination of events within priorities
  • Collaborate with internal and external stakeholders to schedule and confirm event dates and resolve conflicts
  • Communicate contractual obligations to relevant parties including Event Management, Box Office and Operations
  • Ensure successful execution of events from planning to billing
  • Assist in event settlements and post-event billing
  • Prepare and administer contracts ensuring compliance with policies and legal standards
  • Monitor deal terms and contract language for consistency and accuracy
  • Ensure contracted events have proper insurance coverage and deposits
  • Foster relationships with promoters, agents and partners to enhance booking experience
  • Deliver accurate booking information to external partners
  • Collaborate with production and operations teams on event estimates and budgets
  • Produce detailed deal sheets outlining key event terms
  • Work with Box Office on ticketing and scaling maps
  • Process venue rental applications including reference tracking
  • Generate executive-level sales and marketing reports
  • Compile and present data tailored for executive stakeholders
  • Submit box office reports to trade publications
  • Perform other duties as required
