Job Duties

  • Greet all arriving employees, guests, job applicants, vendors, and contractors in both English and Spanish
  • enforce facility security check-in protocols
  • issue visitor badges
  • conduct basic bilingual safety orientations prior to plant access
  • answer central incoming phone calls promptly in English and Spanish
  • route calls efficiently to appropriate departments or personnel
  • take detailed messages
  • manage central email inboxes
  • receive, sort, and log daily incoming mail and small parcel packages
  • manage outgoing mail and coordinate courier/freight document pickups
  • maintain a clean, secure, and presentable front lobby and reception area
  • monitor front entrance security access systems
  • perform routine administrative tasks including file scanning, copying, sorting paperwork, assembling meeting folders
  • assist cross-functional teams with clerical projects
  • monitor front-desk and central office supply inventories
  • track usage levels
  • place routine replenishment orders
  • assist in scheduling conference rooms
  • prepare meeting agendas
  • greet external meeting attendees
  • coordinate catering or beverage setups for internal site events
  • ensure all front-desk procedures comply with OSHA warehouse and plant safety regulations, corporate Code of Ethics, ISO 9001:2015 quality standards, and FSC environmental protocols
