The Southern Arizona AIDS Foundation (SAAF) is a prominent nonprofit organization dedicated to providing comprehensive health services and support to individuals affected by HIV/AIDS and related health issues. This full-time role is a critical on-site position within the SAAF Health Clinic, reporting directly to the Associate Director of Clinical Services. The Bilingual Medical Receptionist is responsible for ensuring smooth front desk operations, effectively supporting the clinic's mission by delivering professional administrative services in both English and Spanish. Working Monday through Friday from 8:00 am to 5:00 pm, this non-exempt position involves managing patient registration, maintaining confidential records, scheduling appointments, handling patient inquiries, insurance verification, referral tracking, and ensuring the clinic's reception area is welcoming and efficiently organized. The role demands a high level of accuracy, discretion, and excellent communication skills to protect patient confidentiality while facilitating the seamless flow of clinical services. The receptionist acts as a key liaison among patients, healthcare providers, pharmacies, and administrative staff, supporting prior authorization processes and correspondence through multiple communication channels including telephone, email, and patient portals.
In addition to administrative tasks, the Bilingual Medical Receptionist plays a vital role in enhancing patient experience by providing appointment reminders, updating patient demographics, and assisting with resource information. The position necessitates proficiency with Electronic Medical Records (EMR) systems as well as Microsoft Office tools such as Word, Excel, and Outlook. Job Requirements

- Minimum 2 years combined education and experience
- CPR/BLS certification
- TB test and proof of vaccination
- Bilingual in English and Spanish

Job Duties
- Secure patient information and maintain patient confidentiality by completing and safeguarding medical records
- Perform front desk duties including registering patients, checking patients in and out, verifying insurance information, scheduling and rescheduling appointments, faxing, and filing
- Take telephone messages and provide feedback and answers to patient, physician, and pharmacy calls
- Track referrals, fax and scan patient documents
- Obtain prior authorizations for medications as needed
- Correspond to emails, phone calls, and patient portal messages
- Maintain neat work and waiting areas
- Instruct and remind patients of appointment details
- Ensure patient demographics are up to date at every appointment
- Assist patients or callers with resource information
- Maintain paperwork at the front desk
- Perform additional duties as assigned
