Job Requirements

  • High school diploma or equivalency
  • 2-3 years medical office experience required
  • basic working knowledge of Microsoft Office
  • bilingual English/Spanish preferred
  • at least one year of customer service or reception experience in healthcare preferred
  • ability to calm and defuse irate callers and patients
  • knowledge of medical terminology and organizational services
  • outstanding communication and phone etiquette
  • ability to work in a dynamic, fast-paced setting

Job Qualifications

  • High school diploma or equivalency
  • 2-3 years medical office experience

Job Duties

  • Completes office activities such as filing, telephone answering techniques, preparation of documents, record retention, duplication, faxing, mail distribution, and ordering of supplies
  • confirms appointments, verifies insurance, verifies I.D. of each patient, handles pre-authorizations, manages problem logs, returns phone calls, ensures patient paperwork completion within 72 hours, and schedules patients in order of appointment
  • composes and prepares correspondence, invoices, reports, presentations, and maintains appropriate files
  • maintains and stocks supplies, checks equipment, and reports malfunctions
  • prepares patient charts and ensures all proper consents are signed
  • schedules appointments and meetings appropriately
  • addresses patient complaints promptly and effectively
  • maintains communication with Office Manager and Senior Practice Manager
  • provides administrative and clerical support when necessary
  • complies with HIPAA privacy and confidentiality policies
  • participates in department quality improvement plan
  • maintains patient confidentiality and HIPAA compliance
  • schedules patients into EMR and bills correctly
  • acts as a messenger when required
  • organizes center calendars and acts as liaison between medical professionals and patients
  • performs other duties as assigned
