Job Requirements
- Bilingual in English and Spanish
- minimum of 3 years experience in administrative or receptionist roles
- excellent communication and interpersonal skills
- ability to manage multiple tasks efficiently
- strong organizational skills
- proficiency with computer software and multi-line phone systems
- must be available to work on-site Monday through Friday, 8:30 am to 5:00 pm
Job Qualifications
- Bilingual in English and Spanish required
- At least 3 years of administrative or receptionist experience
- Excellent client service skills and willingness to be of service
- Strong written and verbal communication skills
- Ability to remain calm while working with competing priorities and requests
- Excellent interpersonal skills and the ability to deal with a variety of individuals
- Experience working with computers, software and phone systems
- Are you fully bilingual in English and Spanish?
- This includes understanding, reading, writing and speaking Spanish
Job Duties
- Answer phones with multiple lines, screen and route calls
- Provide exceptional client service to all callers
- Initiate outgoing calls to clients to confirm appointments and book follow-up appointments
- Assist with client intakes
- Update and maintain client database information
- Maintain firm appointment calendar for attorneys, including meeting coordination and scheduling
- Light administrative duties such as mailing, scanning and document collection
- Other responsibilities as assigned
