The Bilingual Front Desk Coordinator II (English/Spanish) role is a vital position within Envision Healthcare’s physician office, designed to handle a variety of administrative and operational tasks essential for smooth daily operations. This on-site position operates Monday through Friday from 8 a.m. to 5 p.m., with no weekend shifts, which provides a consistent work schedule that supports work-life balance. The Front Desk Coordinator acts as the first point of contact for patients, their families, referring physicians, and office staff, ensuring all interactions uphold the highest standards of professionalism and empathy.
This role requires exceptional bilingual capabilities in English and Spanish to provide excellent communication with a diverse patient base and broader healthcare teams. The Front Desk Coordinator manages a broad scope of duties including patient scheduling, reception duties, front-end revenue cycle management, insurance verification, patient check-in and check-out processes, in addition to collecting copayments and managing billing documentation. As the operations point person for the reception team, this individual assigns and disseminates tasks to ensure efficient workflow and adherence to office policies.
Beyond administrative responsibilities, the Front Desk Coordinator supports the physician and clinical team by preparing daily patient charts, maintaining electronic medical records, and ensuring all patient documentation including referrals and authorizations are obtained prior to visits. Coordination with surgical coordinators, advanced practice registered nurses (APRNs), and other clinical staff is essential for optimizing patient flow and maintaining office efficiencies.

Job Duties
- Greets patients
- performs check in tasks including arriving patients in the electronic medical record, instructing patients on completion of paperwork, verifying patients' insurance if applicable, obtaining copies of patient identification and outside records and treatment authorizations
- collects copayments, coinsurance, and self-pay payments
- documents payments in practice management system as applicable, prepares day-end batches according to policies and procedures, and reconciles payments taken with reports, as applicable
- completes end-of-day tasks, including running applicable reports, identifying no-show patients and communicating with appropriate personnel, completing daily batching tasks, and other office close procedures
- answers, routes, transfers, and retrieves phone calls and messages as required
- ensures referrals and outside records have been obtained prior to service
- communicates with Surgical Coordinator and APRN to ensure efficient patient flow through the office and proper documentation of visits
- schedules appointments according to scheduling guidelines
- adheres to urgent and add-on patient visit guidelines and communicates such visits to clinical staff per office protocols
- prepares daily charts and maintains medical files and electronic medical records
- scans outside reports, results, and labs into the appropriate sections of the electronic medical record
- maintains, orders and receives office supplies
- follows up on incomplete orders
- assists APRN / manager in gathering data for various reports
- assists physician(s) with daily needs
- coordinates patient documentation for billing with business office
- interfaces with referring offices in obtaining referrals when needed
- opens, sorts, and records receipt date of mail
- forwards bills and invoices promptly to manager
- forwards correspondence from hospital medical staff office or insurance companies promptly to manager and performs other general office duties as needed
- functions as the primary trainer for Receptionists while also serving as the resource contact for questions/answers
- maintains office policy/procedure reference guides and ensures all administrative procedures are followed regarding scheduling and other job-specific tasks, as applicable
- serves as a first point of contact for patient concerns, questions and customer service inquiries
- discusses payment arrangements as allowed within EVPS policy and documents accordingly, or promptly refers patient to APRN / manager as required by policy
- obtains authorizations and referrals for patient visits per office protocol
- coordinates patient flow through the front office
- communicates with clinical staff and physicians to optimize patient throughput
- other duties as assigned
