Job Requirements
- 3 to 6+ years of experience in event planning preferably within a nonprofit or mission-driven organization
- Be comfortable with moderate travel as events occur across the country
- Proven ability to manage complex events with multiple stakeholders, vendors and timelines
- Ability to lead seamless event coordination and production of deliverables across teams from concept through post-event evaluation
- Strong project management skills with exceptional attention to detail and organization
- Experience working with AV contractors to deliver highly technical audio and visual performance
- Experience managing event budgets, invoices and financial tracking
- Ability to negotiate across vendors and venues to get the best value for money
- Ability to communicate clearly with diverse stakeholders
- Experience with event registration platforms, CRMs and attendee data management
- Strong problem-solving skills and ability to adapt quickly in fast-paced, on-site environments
- Commitment to the organization’s mission and values
- Strong interpersonal skills, with the ability to build trust, collaborate effectively across teams and engage diverse stakeholders

Job Duties
- Serve as a thought partner on event strategy and execution with departments across the organization ensuring that events align with organizational goals
- Oversee the planning and execution of mission-aligned events including venue sourcing, negotiation and contracting, registration management, travel coordination and production of event materials including signage, name badges, programs and attendee meeting materials
- Create donor recognition, stewardship and cultivation experiences in partnership with Development department
- Recruit and train staff and volunteers to execute their responsibilities appropriately including development of detailed run-of-show documents
- Oversee all on-site logistics including event setup, run-of-show, speaker preparation and logistics, catering, AV/Sound equipment, needed supplies, registration, volunteers, vendors and real-time troubleshooting to ensure seamless, accessible and high-quality attendee experience
- Own and manage comprehensive event timelines, coordinating closely with internal teams
- Lead regular cross-departmental meetings per event with all necessary teams
- Coordinate resource procurement, development of event deliverables across teams including communications materials and programs, signage, agendas, budgets, packing and shipping
- Ensure alignment with organizational and event goals
- Maintain clear communication across stakeholders
- Proactively manage deadlines, dependencies and deliverables to keep all event components on track
- Negotiate across vendors and venues to ensure needs are met while responsibly stewarding financial resources
- Manage relationships with vendors, sponsors, speakers and attendees
- Oversee vendor selection, negotiation and contracts ensuring timely and accurate deliverables
- Maintain centralized tracking of attendee and speaker data including registrant categories and speaker bios
- Ensure alignment across registration, communications, catering, rooming and on-site logistics
- Develop and manage event budgets emphasizing cost-effectiveness and stewardship of nonprofit resources
- Process invoices and reimbursements and reconcile expenses
- Produce post-event reports including attendance insights, financial summaries and recommendations to improve future events and support organizational impact
