The Athletics Special Events Coordinator role at Texas A&M University is a dynamic staff position vital to the smooth operation of athletic events hosted by the university. The role involves comprehensive event coordination duties including planning, execution, and follow-up, requiring interaction with a diverse group of stakeholders such as clients, vendors, and facility staff. The coordinator acts as a primary liaison managing critical logistics such as setup, scheduling, catering arrangements, parking, and safety protocols for all athletic events. This position demands flexibility with work hours, including nights, weekends, and holidays, to support events fully and meet department needs. Salary is commensurate with experience, reflecting the candidate's qualifications and relevant background. The coordinator will engage in multiple responsibilities, from initial client meetings for event planning to onsite event management, recruitment and training of event staff, and adherence to compliance standards governing athletic events. Job Requirements
- Bachelor's degree or equivalent combination of education and experience
- two years of related experience in event planning and marketing including supervisory experience
- ability to work flexible hours including nights, weekends, and holidays
- strong organizational and communication skills
- ability to multitask and manage details effectively
- compliance with safety regulations
- ability to coordinate with multiple internal and external stakeholders
- knowledge of NCAA, conference, and university rules and regulations
Job Qualifications
- Bachelor's degree or equivalent combination of education and experience
- two years of related experience in event planning and marketing including supervisory experience
- understanding of live event production and operation of sports/entertainment venues
- strong organizational skills
- ability to process, organize, and disseminate detailed information
- exceptional customer service and planning skills
- ability to multitask and work cooperatively
- effective verbal and written communication skills
- preferred two years of experience in a similar environment such as athletics, higher education, or large-scale events
Job Duties
- Assist the director with event-related tasks
- meet with clients to prepare layouts, estimates, and event agreements
- liaise clients with third-party vendors such as caterers, parking, ushers, security, and business office
- coordinate with facility staff for space setup needs
- attend all hosted events onsite
- post event work including soliciting evaluations and invoicing
- assist in recruiting, training, and scheduling event staff
- facilitate tours for prospective clients
- assist assigned sports teams with event requests
- assist department staff in scheduling meeting rooms and times
- act as first point of contact for all event bookings
- serve as administrative liaison to clients and partner departments regarding pre-event logistics
- schedule outside vendors
- conduct site visits and meetings providing cost estimates and event agreements
- coordinate post-event surveys, invoicing, and clean-up
- train and supervise part-time employees including student workers and tour guides
- develop recruitment programs for part-time employees
- comply with industry safety and best practice standards
- coordinate with Fire, Police, and Public Safety for event safety
- maintain familiarity with NCAA, conference, and university rules and regulations
- ensure communication and enforcement of rules related to student-athlete conduct and appearance
- uphold the integrity of the Athletics Department and university in all communications and contacts
