As an Athletics Event Services Coordinator, the incumbent will work under the general direction of the department head to support and manage the logistics of events, ensuring events run smoothly and efficiently. The coordinator will be responsible for organizing event details including transportation, facilities, catering, signage, displays, special needs accommodations, printing, and event security. This position requires liaison with event organizing committees to understand their scope and effectively assist in event planning and execution. The role demands a high level of detail orientation, time management skills, and the ability to coordinate diverse services to meet event timelines.
The Athletics Event Services Coordinator also holds responsibility for staffing the event setup and teardown teams adequately and monitoring event performance to ensure that objectives and participant expectations are met. The role involves mentoring junior staff such as Event Coordinator I's and student workers to help them develop professionally while supporting operational goals. This position requires flexibility to work varying schedules including evenings, holidays, weekends, and sometimes overnight on campus during certain events. Job Requirements
- Bachelor's degree preferred
- minimum 2 years experience in event coordination or related field
- reliable transportation
- willingness to work varying schedules including evenings, holidays, weekends
- ability to stay overnight on campus during certain events
- valid driver's license with clean driving record
- pass background investigation including fingerprinting
Job Qualifications
- Bachelor's degree in communications, marketing, promotions, or similar program preferred
- 2 years work experience in a similar capacity such as an overnight youth camp environment or experience with planning, organizing, and executing events targeting youth
- strong organizational and interpersonal skills
- ability to work flexible schedules including evenings, holidays, and weekends
- valid driver's license with clean driving record
Job Duties
- Successfully complete all essential duties and responsibilities as assigned to Event Coordinator I
- meet with organizing committees to assist with planning scope and format of events
- coordinate services for events including transportation, facilities, catering, signage, displays, special needs requirements, printing, and event security
- ensure all details are coordinated and planned for, meeting necessary timelines
- ensure staffing is adequate to cover setting up the events and removal/tear down of events
- ensure all details associated with the assigned event(s) are fulfilled
- monitor event activities to ensure satisfaction of participants, performance of staff and objectives have been met
- assist in mentoring of Event Coordinator I and Student Workers as assigned
- assist in the organization of planning meetings, event logistics and partner department follow through
- assist with scheduling staff as needed
- other duties as assigned
