Within this enriching environment, the Event Services department at Grand Canyon University plays a pivotal role in ensuring the seamless execution of various on-campus events that enrich campus life and promote student engagement. Currently, the department is looking for an Athletics Event Services Coordinator to join its team. This role is instrumental in managing the organizational and logistical aspects of athletics events and other campus gatherings to ensure that all participants, staff, and attendees have a positive and professionally managed experience.
The Athletics Event Services Coordinator will operate under the general guidance of the Department Head, tasked with supporting on-campus events by meticulously planning, coordinating, and executing activities and event details. This position is ideal for someone who is highly organized, detail-oriented, and adept at multitasking in a fast-paced environment. Responsibilities include pre-planning events, attending coordination meetings, managing logistics across multiple departments such as facilities, janitorial, food services, and more.
In addition, the coordinator ensures that venues are set up with all required equipment, including audio-visual gear, tables, chairs, and catering arrangements while also guaranteeing that special needs accommodations are met. Maintaining an inventory of supplies and scheduling student workers are also key responsibilities that fall under this role. The ability to manage event breakdowns and maintain clear communication with all involved parties is essential. This position requires reliability, flexibility to work varied schedules including evenings, weekends, holidays, and even overnight stays on campus during certain events.
Ideal candidates will preferably hold a bachelor's degree in communications, marketing, promotions, or a related field from a regionally accredited institution and bring at least one year of experience in event planning, youth camps, promotions, or similar environments. Reliable transportation and the ability to pass a pre-employment background check are required. Experience using MS Office Suite tools is necessary, and while the role does not carry supervisory responsibilities, strong interpersonal skills and a commitment to excellence in service delivery are essential.

Job Requirements
- Bachelor's degree preferred in a discipline related to communications, marketing, promotions, or similar program from a regionally accredited institution
- 1 year experience in a similar or related capacity including an overnight camp environment, youth camp, event planning, promotions, etc
- must have reliable transportation
- must work varying schedules including evenings, holidays and weekends
- willingness to stay overnight on campus during certain events
- must pass pre-employment background investigation
Job Qualifications
- Bachelor's degree preferred in communications, marketing, promotions, or similar program from a regionally accredited institution
- 1 year experience in a similar or related capacity including overnight camp environment, youth camp, event planning, or promotions
- proficiency in MS Office Suite
- strong organizational and communication skills
- ability to work a flexible schedule including evenings, weekends, and holidays
Job Duties
- Preplan for upcoming events as necessary
- attend planning and organizing event meetings to obtain information, activities and details for specific events
- plan for and executes all logistical arrangements and maintains communications with appropriate staff regarding progress
- ensure coordination of activities with other on-campus departments such as facilities, janitorial services, food services, etc
- set up the venue with displays, tables, chairs, audio-visual equipment, photography/video, catering, special needs accommodations, etc
- ensure an adequate inventory of needed supplies
- request and ensure adequate student worker staff is scheduled for all phases of the event
- break down or tear down event displays and setups
- other duties as assigned
