The role of the Assistant Front Office Manager at Studio Allston is crucial in ensuring the smooth operation of the Front Office. The position demands an attentive, friendly, efficient, and courteous approach to guest services, enhancing guest satisfaction from arrival to departure. The assistant manager's responsibilities revolve around managing guest interactions, maximizing room revenue, and coordinating seamlessly with other hotel departments. This role includes handling guest check-ins, special requests, VIP arrangements, and responding to social media feedback. The Assistant Front Office Manager plays a significant role in training and leading the front office team, maintaining professional standards, and ensuring compliance with hotel policies. This dynamic position requires excellent communication skills, guest-centric problem-solving abilities, and proficiency in operational tasks involving financial transactions and reservation management. Job Qualifications

  • a 4-year college degree and at least 1 year of related experience required
  • supervisory experience required
  • labor experience and OPERA experience preferred
  • proficient in Windows, company-approved spreadsheets and word processing
  • ability to work long hours including two overnight shifts
  • ability to exert up to 20 pounds of force occasionally and/or up to 10 pounds frequently or constantly
  • ability to stand throughout entire shift
  • maintain a warm and friendly demeanor

Job Duties

  • work closely with sales and reservations to fulfill special requests for groups and VIPs
  • assist daily in guest reception
  • respond to social media feedback and follow up with guests and internally
  • communicate effectively with guests, team members, and other departments
  • assist and lead guest service training initiatives within the front office
  • maintain a friendly and caring demeanor in a fast-paced environment
  • maintain a professional image according to hotel guidelines
  • demonstrate teamwork by cooperating and assisting colleagues
  • perform front desk assistant duties including guest registration, upselling, preparing for group check-ins/outs and VIP arrivals
  • maintain and update guest profiles
  • review daily and future reservations to accommodate special requests
  • work with new hires for front desk training
  • interview, hire, and train guest services agents
  • stay informed of hotel events/functions during shifts
  • maintain house bank and accurate report of daily receipts and deposits
  • understand basic financial data and information
  • find guest-centric solutions
  • promote hotel services, facilities and local attractions
  • take or assist with reservations
  • assist at PBX
  • resolve guest complaints and communicate issues to management
  • anticipate guest needs proactively
  • respond promptly to guest requests ensuring satisfaction
  • maintain good relationship with repeat guests and their special requests
  • supervise shifts when needed
  • work closely with sales and VIP clients
  • stay current with hotel developments via communication log
  • know and assist in all emergency procedures
  • attend mandatory meetings and training
  • know key personnel within the hotel
  • have knowledge of the hotel's surrounding area
  • complete all assigned checklists
