The Assistant Director of Event Planning position at Texas State University’s LBJ Student Center represents a key leadership role within the Student Center department. This full-time, exempt position offers a competitive monthly salary range of $4,916.66 to $5,333.33 and entails overseeing a dynamic team responsible for coordinating and executing a broad spectrum of events hosted in the LBJ Student Center. The Assistant Director will provide strategic direction and operational leadership to ensure that every event is impeccably planned and delivered, reflecting the university’s commitment to high customer service standards and seamless event coordination.

This role involves hiring, training, supervising, and evaluating both full-time and student event coordinators, ensuring continued professional development and performance excellence. The Assistant Director serves as the primary liaison for major and complex event planning, manages detailed room diagram development, reservation input into event management software, and leads forecasting meetings to align event schedules with operational impacts. This position also administers and configures event scheduling software, ensures compliance with university policies and regulations—including ADA standards, security, environmental health, safety regulations, and special event approvals—and coordinates closely with various campus departments to facilitate smooth event execution.

Other responsibilities include billing coordination, report development, policy recommendation, and participation in university committees, requiring active engagement and communication within the broader university community. The role demands flexibility to work occasional nights and weekends to oversee event activities effectively. This position provides a vital function in maintaining Texas State University’s reputation for hosting outstanding events and creating memorable experiences for students, faculty, staff, and external clients alike.

Job Requirements

Job Duties

  • Hire, train, supervise, and evaluate event planning team members including full-time and student event coordinators
  • Lead regular meetings, conduct trainings, and develop and maintain training manuals and resources
  • Respond to inquiries, lead and attend client meetings, develop room diagrams, and enter reservation information into event management software
  • Serve as head coordinator for LBJ Student Center and lead on major, complex, and signature events
  • Lead regular event forecasting meetings and ensure timely and accurate information sharing
  • Oversee administration and configuration of event scheduling and room diagram software and processes
  • Ensure compliance with LBJ Student Center and university policies, including ADA compliance, security, environmental health and safety standards, and special event approvals
  • Monitor events and collaborate with Event Services staff, catering, and other campus personnel to ensure seamless coordination
  • Coordinate billing and payment with the LBJ Student Center Business Office
  • Serve as a departmental representative on relevant committees
  • Develop reports, recommend policies and procedures, and handle special projects and other duties as assigned
