The Associate Patient Care Coordinator position plays a vital role within the Mammography department located at 40 Holland St., Somerville, MA. This full-time role is scheduled Monday through Friday, from 8am to 4:30pm. The Associate Patient Care Coordinator is an essential member of the radiology support team, responsible for managing patient interactions and facilitating smooth clinical and clerical operations. This position requires delivering excellent customer service to patients, clinicians, and technologists by skillfully handling phone communications, scheduling appointments, managing referrals, and conducting outreach calls to ensure timely and appropriate follow-up care. The coordinator independently manages various administrative duties, improving patient flow and optimizing appointment availability for technologists.

Key responsibilities include verifying insurance coverage, collecting co-pays, and assisting patients with referral processing while maintaining compliance with HIPAA privacy regulations and departmental policies. The role also includes performing image sharing functions, ensuring the accurate tracking of radiology images, supporting internal and external communications of results, and maintaining an organized and welcoming waiting area. The role demands versatility as the coordinator may provide cross-coverage for other radiology support staff and locations within the region. This position is a critical point of contact in the radiology clinical support team, requiring interpersonal skills, the ability to multi-task in a busy medical environment, and a commitment to protecting patient confidentiality. Job Requirements

  • High school diploma/GED
  • 1+ years of customer service experience
  • Intermediate proficiency with Microsoft Office products
  • Ability to work independently and demonstrate competence in support roles
  • Strong communication and interpersonal skills
  • Ability to handle sensitive patient information confidentially
  • Must comply with HIPAA privacy guidelines
  • Availability to work Monday through Friday, 8am to 4:30pm
  • Ability to multi-task and prioritize in a fast-paced medical office environment.

Job Qualifications

  • High school diploma/GED
  • 1+ years of customer service experience
  • Intermediate proficiency with Microsoft Office products
  • Prior experience in a medical/clinical setting preferred
  • Ability to multi-task and prioritize activities preferred
  • Previous EPIC experience preferred
  • Strong interpersonal, customer service, time management, computer and organizational skills
  • Ability to work in a busy medical/clinical office environment with frequent interruptions.

Job Duties

  • Helps manage patient flow, access, and scheduling for technologists to optimize patient appointment availability
  • Helps determine urgency and priority of emergent add on exams
  • Schedules appointments for patients optimizing patient appointment availability
  • Assists patients with referral processing and communication with other departments
  • Performs outreach to patients for appropriate follow-up appointments
  • Determines urgency and priority of patient appointments
  • Appropriately schedules exams/procedures accordingly
  • Verifies patient insurance coverage and demographic information and collects co-pays and deductibles from patients in accordance with insurance programs
  • Makes appointment reminder phone calls as needed
  • Processes patient requests for copies of images/CD in accordance with standard for release of patient information
  • Manages patient flow within the department by adhering to check-in process
  • Monitors referral/work queue reports and provides necessary outreaches for all open active referrals
  • Closes referrals when appropriate
  • May monitor scheduling requests and schedule appointments accordingly
  • May assist with checkout function and appropriately book follow up appointments per guidelines
  • Performs image sharing functions including assuring availability of radiographs, coordinating acquisition from other institutions, and assisting in downloading CDs to patient EMR/PACS
  • Tracks internal and external images per departmental policies
  • Assists in communicating results to outside providers by faxing/routing per protocol
  • Ensures waiting room is maintained and orderly
  • Assists with training and orientation of new radiology support staff
  • Provides back-up coverage for other support staff as needed
  • Provides imaging/radiology support staff coverage at various locations within the region as needed
  • Assists in resolving minor patient concerns and complaints as appropriate
  • Performs other duties as assigned
  • Actively protects confidentiality and privacy of all protected health information in adherence with HIPAA and company policies.
