The Associate Patient Care Coordinator role is essential in facilitating smooth, efficient operations within the medical office. The position involves multitasking across various administrative duties including patient check-ins and check-outs, insurance verification, appointment scheduling, managing medical records, and financial transactions such as collecting co-payments and handling cashier deposits. This role operates within a collaborative healthcare environment striving to meet clinical, financial, and service objectives while adhering to Lean process improvements. The Associate Patient Care Coordinator acts as an important frontline liaison, greeting patients, managing wait times, and ensuring effective communication between patients, healthcare providers, and the administrative team.

This full-time opportunity is integral to supporting the vision and mission of Optum and ProHealth Care. The hourly pay ranges from $16.15 to $28.80, depending on factors such as local labor market conditions, education, relevant experience, and certifications. Additional benefits include a $2,000 sign-on bonus for eligible external applicants. Through this role, individuals will work at one of three convenient locations in Waukesha, Oconomowoc, or Mukwonago, Wisconsin, with regular business hours from 7:00 am to 5:00 pm, Monday through Friday. Job Requirements

  • High School Diploma or GED
  • 1+ years of customer service experience in an office or healthcare setting
  • intermediate proficiency with Microsoft applications
  • ability to work full-time 40 hours per week between 7:00 am and 5:00 pm, Monday through Friday
  • ability to travel to local sites
  • must pass a drug test
  • eligible for employment under United States employment laws

Job Qualifications

  • High School Diploma or GED
  • 1+ years of customer service in an office setting or healthcare related experience
  • intermediate level proficiency with Microsoft applications
  • ability to work 40 hours per week between 7:00 am and 5:00 pm, Monday through Friday
  • ability to travel to another local site
  • 1+ years of experience working in medical front office or urgent care performing scheduling, check-in/out, insurance verification, collecting co-pays, and medical records maintenance preferred
  • prior experience with EMR computer applications preferred
  • working knowledge of medical terminology preferred
  • working knowledge of general office procedures preferred
  • strong communication and customer service skills in person and via phone
  • strong organizational and time management skills
  • ability to multi-task and prioritize tasks to meet deadlines
  • ability to work well under pressure in a fast-paced environment
  • ability to work independently with good judgment and accountability
  • demonstrated ability to work well with others
  • excellent verbal and written communication skills

Job Duties

  • Greet patients as they arrive and manage wait time
  • complete check-in and check-out tasks including insurance verification, pre-authorizations, and copying required documents
  • collect co-payments, co-insurance, and deductibles and issue receipts
  • manage cashier box and daily deposits according to company policies
  • process walk-in patients and visitors
  • answer phones and schedule appointments and procedures
  • manage medical records including maintaining, filing, scanning, and preparing for schedule
  • ensure all correspondence is scanned and/or filed, process requests for medical records release and maintain appropriate logs
  • establish and maintain effective working relationships with patients, employees, and the public
  • perform all other related duties as assigned
