The Associate Director of Special Events position, within this dynamic environment, is crucial to the successful planning, coordination, and execution of a variety of special events that directly contribute to these goals.
The role of Associate Director of Special Events is a management position classified under operations and is a regular full-time role. The position does not offer sponsorship and requires legal authorization to work in the United States from day one. Reporting directly to the Director of Special Events, this role is responsible for providing strategic and administrative support to enhance donor engagement efforts and ensure the smooth running of institutional events.
Ideal candidates for this role are highly organized, detail-oriented professionals with demonstrated experience in special events, development or advancement, marketing, or communications. They must possess strong project management skills, exceptional communication abilities, and a collaborative mindset to foster a productive, team-oriented culture. Additionally, the Associate Director is expected to embody a proactive, solution-oriented approach while maintaining a high level of professionalism.
Key responsibilities include providing operational support for the planning and implementation of special events, serving as on-site event support including setup and breakdown, and collaborating with both internal stakeholders and external vendors. The role involves event support across the state of Arkansas and requires developing creative, customized event communications and materials, including digital content. The Associate Director also coordinates vendor relations, manages event documentation and donor files, conducts research on potential new events, and oversees post-event activities such as debriefs, financial reconciliation, and constituent recognition.
Beyond event execution, the Associate Director supports ongoing donor engagement through stewardship and follow-up communications, social media activities, and works closely with Institutional Advancement teams to bolster engagement, prospect development, and cultivation efforts. Proficiency in Microsoft Office Suite and working knowledge of design and virtual event platforms are essential, alongside physical capabilities to handle event logistics, including the ability to lift up to 50 pounds and stand for extended periods.

Job Requirements
- Bachelor's degree in communications, public relations, marketing, or related field
- Minimum of 3 years experience in special events, development/advancement, communications, or marketing
- At least 1-2 years project management and administrative support experience
- At least 1 year experience in customer relationship management or donor engagement
- Ability to stand for long periods of time and lift up to 50 pounds
- Proficient in Microsoft Office Suite including PowerPoint, Excel, SharePoint, and Outlook
- Working knowledge of InDesign and virtual event/livestream platforms

Job Duties
- Provide operational support for planning and implementing all Institutional Advancement special events
- Serve as on-site support for events including setup, execution, and breakdown
- Collaborate with cross-functional teams and external vendors
- Support events statewide across Arkansas
- Develop and produce creative event-related communications and digital content
- Coordinate with vendors including sourcing quotes, purchase orders, and managing invoices
- Maintain accurate documentation of events and attendees
- Conduct research and feasibility studies for new event opportunities
- Oversee post-event activities such as debriefs, recognition, reconciliation, and reporting
- Execute post-event stewardship and follow-up communications and social media activities
- Keep internal stakeholders informed throughout event lifecycles
- Support engagement, prospect development, and donor cultivation efforts including correspondence
- Perform other duties as assigned
