The Associate Director, Site Operations at Kilowatt Events is a full-time exempt leadership role based primarily in San Diego with a hybrid work environment. This position is instrumental in steering the Operations department by overseeing the planning and execution of some of the company's most complex and high-profile events. The Associate Director is deeply embedded in the strategic aspects of site planning, temporary construction, crowd flow management, and event design. This role demands exceptional communication skills, extensive experience in live-event operations, and a comprehensive understanding of the unique challenges that come with nontraditional venues, temporary sites, outdoor settings, and large-scale public events.

The Associate Director will lead a talented operations team, providing mentorship and oversight to ensure alignment with project goals and company objectives. Regular communication and accountability will be key aspects of the role to maintain seamless event execution across various projects. As a senior operations leader, this role requires the ability to proactively address challenges, advise teams on best practices, and intervene in critical situations to drive success. Collaboration with the Director of Events and other stakeholders is essential to align operational efforts and maximize event efficiency.

A core responsibility will involve overseeing the end-to-end production process for assigned events, from supplier sourcing to on-site management. This includes coordinating with a variety of vendors such as scaffolding, tenting, power providers, heavy equipment suppliers, internet services, staging crews, carpentry teams, fencing contractors, and utility companies. The Associate Director ensures all events comply with local legal, permitting, and regulatory standards, including safety codes and union rules, guaranteeing smooth and lawful operations.

Event layout and design are other critical components of this role, requiring proficiency in software such as CAD or VectorWorks to create detailed event floor plans that optimize attendee experience, accessibility, and safety. Strategic planning of access points for vehicles, staff, and attendees must accommodate security, emergency response, and operational needs.

Process improvement is also a focus, with a responsibility to regularly identify operational inefficiencies and collaborate on system implementations that enhance workflows and reduce costs. Maintaining vendor order templates, establishing standard operating procedures, and ensuring staff assignments align with both company and project goals will contribute significantly to operational excellence.

The role requires active management of client and vendor relationships to strengthen partnerships and identify new business opportunities. Providing operational oversight during contract negotiations, vendor interactions, and logistics coordination is essential to maintaining strong, productive collaborations. Kilowatt offers a competitive annual salary range of $105,000 to $110,000, plus commission, benefits, and bonuses. Health benefits become available after 60 days of employment, and relocation assistance to San Diego is available for the selected candidate. Job Requirements

  • Bachelor's degree or equivalent experience in event management or related field
  • Minimum of 8 years of experience in the event industry including at least 5 years of onsite event operations
  • Proficiency with CAD or VectorWorks software
  • Certification or willingness to obtain certification for operating heavy equipment such as forklifts and aerial lifts
  • Strong leadership and communication skills
  • Ability to travel frequently and for extended periods
  • Experience in temporary construction and site planning
  • Ability to work in a hybrid environment with presence in San Diego office
  • Highly organized with multitasking capabilities
  • Commitment to safety and regulatory compliance

Job Qualifications

  • 8+ years working in the event industry
  • 5+ years onsite event experience in site operations on major outdoor events temporary event sites and or televised broadcasts
  • Ability to travel frequently and for extended durations up to 2-3 weeks at a time
  • Construction experience building temporary structures for event settings
  • Proficiency in CAD or VectorWorks or other mapping software
  • Heavy equipment experience with forklifts and aerial lifts certification will be required and provided by KWE
  • Exceptional communication and leadership skills
  • Strong computer literacy required Microsoft Office Suite preferred
  • Ability to manage multiple projects and tasks at one time in a highly organized and clearly communicated way
  • Desire to troubleshoot and problem solve with a strong ability to think critically
  • 3+ professional references required

Job Duties

  • Lead mentor and support the operations team ensuring alignment across all projects
  • Provide regular touchpoints clear communication and accountability to maintain efficiency and consistency in event execution
  • Provide strategic guidance on event operations advising teams on best practices and troubleshooting challenges step in on high-priority or at-risk projects as needed to ensure smooth execution
  • Oversee the full scope of production for assigned events including sourcing suppliers populating orders and managing onsite execution
  • Ensure events comply with all legal permitting and regulatory requirements
  • Serve as primary point of contact and coordinate communications in a timely positive and efficient manner for client team production and operations vendors sponsor operations event staff venues and key event stakeholders
  • Create event staffing plans for the advance and onsite execution
  • Create event layouts and floor plans utilizing software such as CAD or VectorWorks
  • Collaborate with the design and production teams to ensure event spaces are optimized for attendee flow accessibility and safety
  • Regularly identify inefficiencies and collaborate with the Director Events to implement systems to streamline event operations
  • Support and strengthen relationships with key vendors venues stakeholders contractors and partners to enhance operational efficiency
  • Provide operational oversight on vendor contracts negotiations and logistics
  • Ensure adherence to industry regulations safety standards and risk mitigation strategies across all event operations
