The role of Associate Conference Producer at Thomson Reuters offers a unique opportunity for individuals passionate about producing engaging, educational conferences tailored to the legal, corporate, and tax & accounting industries. As part of the Thomson Reuters Institute live events team, this role demands hands-on involvement in coordinating the multifaceted logistical and administrative aspects that make every event a success. The Associate Conference Producer will work closely with the manager of conference production and collaborate extensively with internal teams and external speakers to ensure that conferences are not only well-planned but also relevant, informative, and impactful.

In this dynamic position, the Associate Conference Producer is responsible for identifying and recruiting top-tier speakers and subject matter experts who are recognized leaders within their fields. The role entails organizing and leading planning calls, managing speaker correspondence, and maintaining up-to-date tracking information. Creativity plays a key part in drafting engaging conference agendas, session outlines, and associated materials that resonate with the target audience. Attention to detail is crucial when coordinating the collection of speaker bios, presentations, and other assets required for smooth conference execution.

A strong customer service orientation is expected, as well as professional representation of Thomson Reuters during conferences, including direct logistical support for senior executives and external moderators. This role also involves traveling domestically and internationally to assist with on-site event management and speaker coordination. Furthermore, leveraging artificial intelligence tools to streamline content creation and administrative duties forms a growing part of the position’s responsibilities.

Job Requirements

  • Bachelor’s degree required (Liberal Arts preferred)
  • 1-3 years of experience in conference programming or content strategy
  • Strong organizational skills

Job Qualifications

  • 1-3 years of experience in conference programming or content strategy, with exposure to speaker curation and agenda development
  • Strong organizational skills and the ability to manage multiple deadlines, calls, and correspondence simultaneously
  • Demonstrated research skills and a critical eye for selecting and evaluating content for agendas and session materials
  • Strong writing skills, with the ability to draft clear, engaging agendas, session outlines, and correspondence
  • Strong presentation and interpersonal skills both verbal and written
  • Comfortably engaging business professionals and C-suite/senior executives, including via phone and email correspondence
  • High energy, accountability, and attention to detail and deadlines
  • A proactive, service-oriented approach to problem-solving and follow-through
  • Ability to travel domestically and internationally up to five times per year

Job Duties

  • Help identify, recruit and maintain relationships with speakers and subject matter experts who are leaders and influencers in their respective fields
  • Schedule and lead planning calls with speakers, faculty, and internal stakeholders to keep conference preparations on track
  • Draft and send welcome letters, confirmation emails, and other correspondence to speakers and faculty throughout the conference lifecycle
  • Manage and maintain accurate faculty and conference details on internal tracking sites
  • Conduct research on current and emerging topics and trends in the Legal, Corporate, and Tax & Accounting Professionals industries to inform conference planning
  • Draft conference agendas, session outlines, and related conference materials that are relevant, engaging, and informative
  • Coordinate the collection of speaker bios, headshots, presentations, and other required materials ahead of deadlines
  • Collaborate with marketing and event planning teams to help ensure consistent and effective promotion and execution of each event
  • Provide excellent customer service and professional representation of Thomson Reuters to our clients and partners, including coordinating logistics for senior executives and external moderators, when requested
  • Produce run of show/housekeeping documents for program co-chairs, faculty and AV teams
  • Travel to attend and assist with conferences, as needed, managing on-site logistics and speaker coordination
  • Leverage AI tools and adopt best practices to streamline research, content drafting, and administrative tasks, while staying current on emerging AI trends relevant to conference programming and the industries we serve
  • Support and help drive engagement for our blue chip events, such as the Executive Briefings, ensuring these flagship programs deliver a premium experience and strong value for high-profile attendees and stakeholders
