Within this vibrant academic community, the Student Life - Office of Conference and Event Management is looking for an Assistant/Associate Director of Conference and Event Management. This is an exempt, full-time administrative position reporting directly to the Executive Director of Conference and Event Management. The role is crucial in coordinating and executing special programs and undergraduate recruitment events that engage prospective students, families, school counselors, and community organizations. It also entails working closely with the partnership office to manage logistics for conferences, special events, and summer use of residence halls across the Moravian University campuses, supporting external stakeholders.

The Assistant/Associate Director will lead efforts to bridge the Student Life division with the Admissions team, helping to deliver campus events that foster connections and enhance community engagement. This position requires hands-on leadership and operational management, including supervising student workers known as Haupert Union Conference Assistants. The role involves managing event budgets, collaborating with various campus departments such as Catering, Campus Police, Facilities, Marketing, and Event Technology, and utilizing systems like 25Live, DocuSign, Google Workspace, and Salesforce CRM to streamline event planning and execution.

The position demands strong organizational, communication, and multitasking skills, emphasizing the importance of teamwork and a proactive approach to problem-solving. The Assistant/Associate Director will also be responsible for tracking and reporting event performance metrics to measure program effectiveness and alignment with strategic goals. Additionally, the role calls for flexibility, as the successful candidate must provide on-campus event support, serve in an "on-call" capacity during the busy summer conference season, and be available to work evenings and weekends as required by the event calendar.

Job Duties

  • Lead the execution and coordination of special programs and undergraduate recruitment events designed to engage prospective students and external partners
  • Partner with the Admissions team to support campus events, bridging the division of Student Life with the Admissions team
  • Serve as the primary point of contact for the partnership office to execute the logistical vision for external groups, including camps, conferences, and meetings
  • Provide in-person leadership and assistance for major institutional events, including Commencement and Heritage Day
  • Assist with managing and tracking event related budgets, ensuring accurate forecasting, and expense tracking
  • Collaborate with internal campus departments including Catering, Campus Police, Facilities, Marketing, and Event Technology utilizing campus systems and workflows such as 25Live, DocuSign, and Google Workspace
  • Utilize Salesforce (CRM) to manage attendee registration pipelines, monitor daily/weekly attendance trends, and generate accurate post-event show-rate reports
  • Recruit, train, supervise, and evaluate student conference assistants
  • Track and report event performance metrics to measure program effectiveness and monitor progress toward strategic institutional goals
  • Direct the physical preparation and inventory logistics for all events, ensuring the printing of specialized academic materials, wayfinding signage, and the assembly/packing of custom event materials and emergency supply bins
  • Provide hands-on, on-campus event support and serve in an "on-call" capacity throughout the summer conference season
  • Maintain flexibility to work evening and weekend hours as required by the event calendar
  • Complete other duties as assigned
