Job Description

Moravian University, located in Bethlehem, Pennsylvania, is a prestigious institution with a rich history dating back to 1742. Offering a blend of liberal arts and professional programs, this university is renowned for providing a private education that emphasizes personal attention and preparation for life-long success. It is a proud member of The New American Colleges and Universities (NAC&U), a national consortium dedicated to integrating liberal education, professional studies, and civic engagement. Moravian University’s educational mission is deeply rooted in preparing students for reflective lives, fulfilling careers, and transformative leadership in a constantly changing world. The Division of Student Life at Moravian plays a pivotal role in advancing this mission by fostering the development of the whole student within a supportive yet challenging campus environment. Staff in this division are committed to core values such as student-centered approaches, collaboration, inclusivity, community focus, and transparency. This dedication ensures that all decisions and services are made with the best interests of Moravian students and the broader community in mind.

The Assistant/Associate Director of Conference and Event Management is a key role within the Student Life department, reporting directly to the Executive Director of Conference and Event Management. This exempt position involves supervising student workers, specifically Haupert Union Conference Assistants, and is instrumental in coordinating and executing a variety of special programs and undergraduate recruitment events. These events are designed to engage external partners, including prospective students, families, school counselors, and community organizations. The role demands expertise in managing and tracking event-related budgets with accurate forecasting and expense tracking. It also involves collaborating with various campus departments including Catering, Campus Police, Facilities, Marketing, and Event Technology, utilizing systems like 25Live, DocuSign, and Google Workspace. Proficiency in CRM systems such as Salesforce is essential to manage attendee registration pipelines, monitor attendance trends, and generate post-event reports.

Additionally, the Assistant/Associate Director is responsible for recruiting, training, supervising, and evaluating student conference assistants. They oversee the physical preparation and logistics of events, including printing specialized academic materials and assembling custom event supplies. The role requires providing hands-on event support during the summer conference season, maintaining flexibility to work evenings and weekends per the event calendar, and fulfilling other duties as assigned. Moravian University emphasizes a dynamic and inclusive work environment that supports diversity and provides accommodations as needed.

Overall, this position is ideal for professionals with a bachelor's degree who possess experience in conference services, student staff supervision, leadership development, or community engagement within a university setting. Candidates with proficiency in higher education CRMs, scheduling software, and data tracking platforms are highly preferred. The role also demands exceptional conflict resolution skills and the ability to maintain collaborative and professional relationships across diverse campus and external communities.
