The Assistant Workplace Experience Coordinator role at Hines is an exciting opportunity based in the San Francisco HQ office, focused on delivering a high-touch hospitality experience and event support in a fast-paced tech-office environment. This position is fundamental in maintaining smooth workplace operations by managing front of house hospitality, supporting workplace events, and offering critical administrative assistance. Acting as a central knowledge hub, the coordinator oversees visitor care with a hospitality-forward approach, delivering white-glove service including personalized assistance for employees and guests, such as guiding visitors to meeting rooms, managing luggage, and handling meal ordering needs.
The role includes curating comprehensive local resource guides, FAQs, and neighborhood recommendations, ensuring that internal teams and external visitors are well-informed. Key responsibilities involve working closely with Administrative Business Partners and other support teams to meet leadership requests with impeccable service standards. The coordinator also audits meeting and event spaces, supports day-of event troubleshooting, and conducts walkthroughs to verify event space setups. Proficiency in monitoring communication channels and managing event data through tools like Airtable, Jira, and Google Calendar is essential to maintain real-time accuracy and efficiency. Job Requirements
- minimum of a high school diploma or equivalent
- 2+ years of experience in hospitality, event coordination, and/or administrative operations
- familiarity with facilities management and workplace events is preferred
- proficiency in Google Workspace, Jira, Confluence, and Slack
- strong organizational skills with attention to detail
- ability to handle multiple priorities under pressure
- excellent verbal and written communication skills
- collaborative mindset with the ability to work independently
- flexible to work extended hours occasionally
- must be based in the Bay Area and able to work onsite 5 days/week
Job Qualifications

Job Duties
- maintain a full understanding of our office HQ to guide employees and visitors as needed
- curate and maintain an accurate and updated database and physical collateral for local office faqs, local restaurants, experiences, pharmacies, transport options, maps, and other local activities available in the city
- serve as a hospitality expert in handling all employee and visitor inquiries and requests (directional assistance, white glove service such as physically walking employees/visitors to their meeting rooms, handling luggage, assisting with meeting room changes and meal ordering guidance as needed)
- partner with administrative business partners, internal comms, aV, and other key support teams to manage and support leadership requests, ensuring the highest standards of white glove customer service are met
- perform audits of meeting and event spaces to check the accuracy of food setups, room configurations, and overall cleanliness, logging maintenance tickets as needed
- act as an extension of the events team by providing day-of troubleshooting
- conduct day-of-event walkthroughs alongside cross-functional partners to ensure setups match layout requirements and events
