Job Duties
- assume responsibility for execution of the Reservation Department policies and procedures and manage daily operations
- maintain reservation core standards
- conduct standards testing including call observation
- conduct regular Worldwide Reservations Office test calls and provide timely feedback
- work quickly in high-pressure environment and handle stress
- select and train reservations staff, discipline and recommend succession or termination as necessary, and conduct performance appraisals
- ensure all reservations staff are familiar with guest rooms, selling techniques, hotel facilities, services, hours of operation, key personnel, special activities, functions, and ensure proper follow-up on special guest requests
- conduct follow-up training sessions and provide timely feedback to staff
- develop and mentor reservations staff for future advancement
- keep Worldwide Reservations Office team well-informed of changes in hotel policy, services, personnel, special activities
- order supplies and equipment for the department
- control Special Assigned Group reservations in conjunction with Front Office Manager and ensure special handling of top corporate clients, VIPs, and return guests
- prepare and distribute daily return guest reports and monthly recap of return guests percentage, daily VIP list, and daily arrivals list
- schedule staff according to budget guidelines while ensuring maximum guest service
- complete necessary payroll records and labor forecasts for weekly Labor meetings
- handle guest complaints and keep senior management informed
- display high level of integrity and professionalism with guests and internal departments
- operate and manage Group Delphi system
- collaborate with Sales Department on group bookings and contracts, maintaining files, tracing cutoff dates, following up on special instructions
- maximize inventory and room revenue by controlling pickup and cutoff reports for all group contracts
- review and analyze call volume reports including abandonment rate and take appropriate actions
- monitor call abandonment and call conversion
- enforce room and rate availability guidelines to maximize occupancy and revenue
- handle daily recording of deposit refunds
- maintain accurate records of daily statistics by market segment including daily pickup reporting
- ensure all reservation confirmations are mailed daily
- create and maintain individual rate codes for each negotiated account
- establish and maintain rate code conversion tables between PMS and Worldwide Reservations Office system
- attend and contribute to yield management meetings with Sales and Marketing
- conduct regular Reservations Departmental and Worldwide Reservations Office meetings
- establish relationships with other Reservations Managers in the city and Four Seasons system
- maintain favorable working relationships among employees to promote morale, productivity, and efficiency
- generate and run daily, weekly, and month-end reports
- assist Director of Revenue Management in their absence
- respond appropriately to hotel emergency or safety situations
- complete projects assigned by management
