The Assistant Property Manager plays a crucial role within the property management team, assisting in numerous administrative and operational tasks essential for maintaining high standards at commercial properties. This position involves supporting the Senior Assistant Property Manager and, in some instances, fulfilling property administrator duties to ensure smooth office operations. The Assistant Property Manager is tasked with providing outstanding customer service, managing lease administration activities, maintaining accurate property records, and coordinating tenant interactions efficiently.

This full-time role demands a proactive and organized individual capable of multitasking in a fast-paced environment while maintaining a strong sense of urgency and attention to detail. Responsibilities extend from typing and phone support to the preparation of reports and correspondence distribution. The Assistant Property Manager is responsible for coordinating bids, service contracts, and overseeing delinquency processes to keep property financials in good order. The position requires close collaboration with various service providers such as janitorial and landscape contractors to monitor performance and ensure quality standards.

Additional duties include administering tenant service initiatives such as handbooks, holiday gifts, newsletters, and event planning to enhance tenant satisfaction and retention. The role also involves maintaining office procedures, processing invoices and bill-backs for extra tenant charges, assisting with budget preparation, and conducting regular property inspections.

Job Requirements

  • At least 1 year of real estate property management or related experience

  • Ability to remain stationary for extended periods

Job Qualifications

Job Duties

  • Provide full administrative support including phone support typing reports filing and distribution of correspondence
  • Coordinate office supplies in absence of property administrator
  • Assist in lease administration activities including abstracting leases and maintaining database
  • Ensure property files are maintained orderly including leases and contracts
  • Prepare and coordinate bid proposals and service contracts
  • Obtain aging report and follow up on delinquencies following policies
  • Ensure invoices are processed with appropriate backup and procedures
  • Coordinate tenant move ins and move outs including furniture logistics
  • Oversee maintenance of work order and purchase order systems
  • Develop and maintain Tenant Service Package including tenant handbooks newsletters and events
  • Update office procedures in Operation's Procedure Manual
  • Ensure certificates of insurance for tenants and vendors are current
  • Oversee processing of staff hours expense reports and check requests
  • Process tenant bill-backs for extra charges timely
  • Assist with annual budgets preparation and monthly financial reports
  • Lead property inspections with service providers
  • Participate in performance oversight of service contractors
