The available position is for a Front Office Manager, a pivotal role responsible for overseeing the daily operations of the front desk and guest services. The Front Office Manager ensures that all guest interactions are professional, courteous, and lead to a positive guest experience. This role involves supervising and motivating a skilled team of front office agents, bell staff, concierge personnel, and PBX operators. The manager conducts staffing activities including hiring, training, scheduling, and maintaining proper staffing levels to meet business needs. Handling guest complaints effectively and promptly is essential, as the manager plays a key role in resolving issues to guarantee guest satisfaction and loyalty.

In addition to leadership responsibilities, the Front Office Manager operates the MICROS system, managing daily financial transactions accurately and efficiently. Coordination with departments such as Housekeeping and Engineering is part of the routine to ensure guest rooms and maintenance needs are addressed timely. The manager also assists the General Manager by managing special requests, group reservations, and any unusual situations that arise in the front office. Strong communication and organizational skills are vital to this role, as well as the ability to multitask in a fast-paced environment. This is an office-based role requiring prolonged periods of desk work, frequent use of computers, and occasional physical activities such as standing and walking. The position demands a high work ethic, independent judgment, and the capacity to maintain focus despite potential interruptions.

Job Requirements

  • High school diploma or equivalent
  • Proven experience in front office or guest service roles
  • Ability to work varying schedules to reflect business needs
  • Strong problem solving and customer service skills
  • Prolonged periods of sitting at a desk and working on a computer
  • Occasional standing and walking throughout the workday
  • Ability to lift and/or move 10-25 pounds
  • Ability to hear and participate in conversations and meetings
  • Ability to read from computer screen and printed materials including close visual focus

Job Duties

  • Anticipate guest needs, respond promptly and acknowledge all guests, maintaining positive guest relations at all times
  • Greet and communicate cordially with guests, promptly and professionally checking them in and out of the hotel
  • Ensure proper staffing levels of front office associates, including interviewing, hiring, supervising, training and scheduling front desk agents, front office supervisors, guest service aides/bell staff, concierge staff and PBX operators
  • Have complete understanding of front office staff's job descriptions and duties and be able to perform duties at any given time
  • Resolve guest complaints, ensuring guest satisfaction in each interaction
  • Manage guest resolution process to include investigation of situation and creative problem solving to ensure guest is satisfied with outcome
  • Accurately manage and operate the MICROS system at the front office, including all daily transactions and those which are not performed often
  • Communicate with Housekeeping and Engineering Departments regarding guest rooms, requests and maintenance requests/needs
  • Assist the General Manager by handling special requests, group blocking and unusual circumstances
