In this position, the Assistant Event Set-Up Manager supports and leads the Event Set-Up team while collaborating closely with various hotel departments such as Food & Beverage, Event Services, and the Event Set-Up Manager. Leadership responsibilities include supervising, coaching, and motivating team members including supervisors and housepersons to achieve exceptional guest service outcomes and foster colleague engagement. A key aspect of the role involves ensuring precise and timely setup of all functions and meetings, proactively assessing staffing levels and equipment requirements to meet event needs. The Assistant Event Set-Up Manager also facilitates communication with guests and internal departments by thoroughly reviewing Event Orders to guarantee clarity and meet expectations.

The role extends to administrative responsibilities such as managing payroll, generating reports, forecasting, inventory management, and budgeting for the Event Set-Up department. Additionally, the Assistant Event Set-Up Manager performs daily walkthroughs of departmental areas, function spaces, and storerooms to ensure compliance with Department of Health regulations and Hyatt Corporate standards. The position demands a proactive, organized, and detail-oriented professional who thrives in a fast-paced environment and possesses strong computer skills along with in-depth knowledge of Event, Sales, and Catering systems.

Job Requirements

  • Must be available to work a flexible schedule during the week, including weekends and holidays
  • Proof of eligibility to work in the United States
  • Completed background check

Job Qualifications

  • 2 years supervising experience required
  • 2 years experience in hotel, convention/conference center, preferable in conference services
  • Strong computer skills and detail orientated
  • Strong knowledge of Event, Sales, and Catering systems
  • A true desire to satisfy the needs of others
  • Must be able to work in a fast-paced environment
  • Ability to lift, push and pull a moderate amount of weight
  • Ability to work a flexible schedule through the week

Job Duties

  • Support and lead the Event Set-Up department while working closely with the Event Set-Up Manager, Director of Food & Beverage, Event Services, and other hotel departments
  • Supervise, lead, coach and motivate the event set-up team, including supervisors and housepersons towards achieving exceptional guest service results and colleague engagement
  • Assist the hotel in reaching our service scores goals on our Meeting Planner surveys
  • Ensure thorough communication and understanding with guests and other departments by reviewing Event Orders
  • Responsible for the appropriate and timely set up of all functions and meetings, proactively reviewing staffing and equipment needs
  • Responsible for ensuring coordination and execution of all events with Culinary, Stewarding and Event Services team
  • Foster a supportive work environment through effective hiring, training and development of the event set up team
