The role of the Assistant Event Set-Up Manager offers a unique opportunity to join a highly skilled and recognized team within one of the industry’s top resorts. This position supports the Event Set-Up Manager in overseeing the daily functions of the Event Set-Up department, which is integral to the success of all meetings and events held at the hotel. Responsibilities include setting up, breaking down, and maintaining the cleanliness and organization of the hotel's meeting spaces. The Assistant Event Set-Up Manager plays a crucial leadership role, providing guidance and support to a dedicated team of supervisors and housepersons. Collaboration with multiple hotel departments such as Food & Beverage, Event Services, and Culinary is essential to ensure seamless execution of events.

In this role, you will be responsible for supervising and motivating the event set-up team, facilitating training, and fostering an environment that prioritizes exceptional guest service and colleague engagement. You will also contribute to achieving service score goals on Meeting Planner surveys by ensuring that event orders are thoroughly reviewed and clearly communicated to all relevant parties.

Moreover, the role involves administrative duties including payroll facilitation, inventory management, forecasting, budgeting, and ensuring compliance with Department of Health regulations and Hyatt Corporate standards. Your proactive approach to staffing and equipment needs will be instrumental in the timely setup of all functions and meetings. Job Requirements

  • Must be available to work a flexible schedule during the week, including weekends and holidays
  • Previous event set-up or supervisory experience preferred
  • Strong organizational and leadership abilities
  • Ability to communicate effectively across multiple departments
  • Capacity to work in a fast-paced, dynamic environment
  • Must be proactive and detail-oriented
  • Ability to perform physical tasks related to event set-up
  • Must comply with all health and safety regulations

Job Qualifications

  • Previous experience in event set-up or event management
  • Strong leadership and team management skills
  • Excellent communication and interpersonal skills
  • Ability to coordinate multiple tasks and work under pressure
  • Experience with scheduling and administrative tasks
  • Knowledge of Department of Health regulations and hospitality standards
  • Proficiency in inventory management and budgeting
  • High school diploma or equivalent
  • Hospitality or management degree is a plus

Job Duties

  • Support and lead the Event Set-Up department while working closely with the Event Set-Up Manager, Director of Food & Beverage, Event Services, and other hotel departments
  • Supervise, lead, coach and motivate the event set-up team, including supervisors and housepersons towards achieving exceptional guest service results and colleague engagement
  • Assist the hotel in reaching service scores goals on Meeting Planner surveys
  • Ensure thorough communication and understanding with guests and other departments by reviewing Event Orders
  • Responsible for the appropriate and timely set up of all functions and meetings, proactively reviewing staffing and equipment needs
  • Ensure coordination and execution of all events with Culinary, Stewarding and Event Services team
  • Foster a supportive work environment through effective hiring, training and development of the event set up team
  • Perform administrative tasks including facilitation of payroll, reports, forecasts, inventory and budgeting
  • Conduct daily walk-throughs of departmental areas, function space and storerooms to ensure compliance with Department of Health regulations and Hyatt Corporate standards
