The Faculty Center at BYU is currently seeking a part-time Assistant Event Coordinator to join their team. This position, offering approximately 17.5 hours per week with a pay grade of 47, presents an excellent opportunity for an individual who is highly organized, people-oriented, and enthusiastic about event coordination and campus engagement. With typical starting pay ranging from $18.75 to $23.75 per hour, the role includes comprehensive benefits such as employee assistance programs, on-campus parking, library access, and more. This Assistant Event Coordinator position primarily focuses on supporting faculty development through meticulous planning and execution of events, seminars, and workshops. The individual will coordinate logistics such as venue reservations, audio-visual setups, catering, and layout planning to ensure seamless event experiences. They will also develop event materials like programs, invitations, and seating charts, assist with assembling materials for workshops, and maintain clear communication with attendees and presenters.

In addition to event logistics, the Assistant Event Coordinator provides vital administrative support by inputting and updating event information in the Faculty Center database, assisting with surveys and expense tracking, and managing inventory and purchasing processes. This role requires strong collaboration with various campus departments, including Scheduling, Catering, AV Services, Custodial, and Conference Services to guarantee the smooth operation of events. The Assistant Event Coordinator also plays a leadership role by overseeing student event staff and delegating tasks during events.

  • One or more years of experience in customer service, event coordination, logistics, or related work

Job Duties

  • Coordinate event logistics including venue reservations, AV setup, catering, room layouts, and presenter support
  • Create event materials such as programs, invitations, seating charts, and handouts
  • Assist with seminar and workshop preparation, including assembling binders and event packets
  • Communicate with attendees and presenters to ensure a seamless event experience
  • Input and update event information in the Faculty Center database
  • Assist with surveys, event feedback collection, and expense tracking
  • Support inventory management and purchasing processes as needed
  • Ensure compliance with university policies and procedures
  • Deliver excellent customer service to faculty, administrators, and campus partners
  • Collaborate with departments including Scheduling, Catering, AV Services, Custodial, and Conference Services
  • Help oversee student event staff and delegate tasks during events
