The Assistant Director of Event Planning at Hyatt Regency Boston plays a vital role in supporting the overall mission and purpose of the hotel. This leadership position is essential in ensuring the successful planning, execution, and financial performance of various events hosted at the hotel. Reporting directly to the Director of Sales and Events, the Assistant Director leads the Event Planning team by managing responsibilities from contract turnover until event completion. This role demands a strong emphasis on client service, operational alignment, accurate billing, and financial oversight, all of which contribute to maintaining the hotel's reputation for excellence.

In this position, the Assistant Director of Event Planning is responsible for overseeing a diverse portfolio of events including meetings, conferences, weddings, and large-scale galas. The role involves direct collaboration with multiple departments such as Sales, Catering, Food and Beverage, Culinary, Banquet Operations, Finance, and other hotel divisions to coordinate all aspects of event execution. Strong leadership skills are crucial, as this individual not only manages internal teams but also builds and nurtures client relationships to ensure clear communication and satisfaction throughout the event planning process.

One of the core responsibilities includes financial management related to event planning. This encompasses monitoring event revenues, profitability, contract reviews, billing processes including deposits and final invoicing, as well as resolving billing discrepancies to maximize revenue and minimize disputes. This financial acumen ensures the hotel meets its departmental and organizational goals.

Additional tasks include organizing and leading planning meetings, site visits, pre-convention gatherings, and ensuring compliance with Hyatt’s brand standards, policies, and collective bargaining agreements. The Assistant Director also plays a proactive role in responding to guest and client needs, resolving challenges promptly and with a professional approach.

The role offers an annual salary range of $80,900 to $105,000, reflecting the candidate’s experience, qualifications, skills, and internal equity within the Hyatt Regency Boston team. The ideal candidate for this position will demonstrate at least 2 years of relevant experience in event planning or related fields within the hospitality industry, with strong operational knowledge, leadership capabilities, and a commitment to delivering outstanding client experiences.

Job Requirements

  • Strong leadership, communication, organization, financial acumen, problem-solving, and relationship-building skills
  • Ability to manage multiple events, deadlines, client needs, and operational priorities in a fast-paced hotel environment
  • Proficiency with event management systems, Microsoft Office, forecasting tools, billing processes, and hotel operating systems preferred
  • Ability to work flexible shifts based on business needs, including evenings, weekends, holidays, and large event days

Job Duties

  • Manage and execute meetings, conferences, weddings, galas, and special events from contract turnover through event completion
  • Serve as the primary planning contact for clients, building strong relationships and ensuring timely, professional communication throughout the planning process
  • Lead planning meetings, site visits, pre-convention meetings, resume reviews, and internal operational meetings
  • Partner with Sales, Food & Beverage, Culinary, Banquet Operations, Finance, and other hotel departments to ensure seamless event execution
  • Lead, coach, mentor, and support the Event Planning Team
  • Monitor event revenues, profitability, client satisfaction, and event execution to support departmental and hotel goals
  • Oversee event billing processes, including contract review, deposit and payment schedules, accurate posting of charges, master account reconciliation, final invoicing, and timely collection
  • Resolve billing discrepancies and partner with Sales, Events, Finance, and Operations to maximize revenue capture and minimize billing disputes
  • Ensure compliance with Hyatt brand standards, service expectations, operational procedures, hotel collective bargaining agreement, and company policies
  • Respond proactively to client and guest needs, resolving challenges with professionalism, urgency, and care
  • Support the Director of Sales and Events with departmental leadership, budgeting, forecasting, colleague development, and strategic initiatives
