Within Wisconsin Athletics, the Engagement & Community Outreach and Alumni Relations departments work collaboratively to build lasting relationships with former and current student-athletes while expanding the university's community impact. These departments focus on creating strategic programs that resonate with various stakeholders, promoting involvement, service, and pride in the Wisconsin Badgers experience.

The Assistant Community & Alumni Engagement Coordinator is an integral 11-month university staff position dedicated to supporting these collaborative efforts. Serving as a bridge between Engagement & Community Outreach and Alumni Relations (also known as the W Club), this role emphasizes strengthening ties with alumni and expanding the outreach impact within the Wisconsin community. The position is structured to offer vital administrative, event planning, marketing, and programming support designed to foster meaningful connections across a broad spectrum of university constituents.

The coordinator will play a key role in planning and managing alumni events, ensuring seamless execution through logistics management including registration, marketing efforts, vendor coordination, and on-site event support. By collaborating closely with the W Club staff, the individual will help define event goals and contribute to post-event evaluations for continuous improvement. Beyond events, the coordinator will engage in marketing and storytelling, utilizing digital platforms and analytics to enhance alumni engagement and brand awareness. This includes crafting compelling content, designing materials, and leveraging tools like Salesforce, Cvent, Podium X, Canva, and G Suite to drive communication strategies.

Community service and strategic initiatives are another cornerstone of the role, particularly through the administration of programs like Badgers Give Back which promotes community involvement by student-athletes, alumni, and staff. The role requires the design and coordination of service opportunities, oversight of youth ticket programs, and the management of donations to ensure they align with strategic objectives and exhibit measurable impacts.

The assistant coordinator will also contribute to cross-unit collaboration by acting as a liaison between departments, supporting large-scale athletics events such as Badger Built, participating in team meetings and committees, and contributing to strategic reporting and special projects. The role extends to student affairs programming support, assisting in the design and administration of student-focused programs, providing guidance to students and stakeholders, and potentially supervising student employees.

This position offers a competitive hourly rate of $20 and includes generous vacation, holiday, and paid time off accrual within an 11-month appointment schedule. Although health insurance benefits are not provided, employees receive valuable perks including Badger gear and tickets to major varsity sports events, enhancing their connection to the university community. Job Duties

  • Collaborate with W Club staff to understand goals, themes, and desired outcomes for alumni events
  • assist with event logistics, including registration, marketing, catering coordination, venue setup, and day-of execution
  • conduct post-event evaluations to gather feedback and support continuous improvement
  • support alumni service initiatives, including partnerships with Badger Athlete Alumni Supporting Kids (BAASK)
  • implement marketing strategies that increase alumni engagement and visibility of the W Club
  • create digital content and campaigns that highlight alumni stories and strengthen brand awareness
  • design marketing materials such as graphics, email communications, and social media content
  • maintain and update letterwinner data
  • use analytics to inform communication, outreach, and event planning
  • utilize platforms such as Salesforce, Cvent, Podium X, Canva, G Suite, and other designated systems to support engagement efforts
  • assist in the development and execution of community service initiatives aligned with departmental strategic priorities
  • support and advance Badgers Give Back, Wisconsin Athletics' community engagement platform
  • design and coordinate service opportunities connecting student-athletes, alumni, staff, and community partners
  • oversee community access and impact programs, including the youth ticket program and Wisconsin Athletics donation program, ensuring alignment with strategy and measurable outcomes
  • track participation metrics and assess program effectiveness
  • serve as a liaison between Alumni Relations and Engagement & Community Outreach to identify collaborative opportunities
  • participate in team meetings and designated committees
  • support Badger Built large-scale events and other athletics initiatives
  • contribute to reporting, strategic planning, and special projects
  • perform other duties as assigned to support Wisconsin Athletics' mission and strategic goals
  • assist with the design of student-focused programming and associated resources and materials to promote new and ongoing educational initiatives
  • serve on collaborative committees and execute essential and administrative functions
  • provide guidance on resources for individual students or internal stakeholder groups
  • assist with supervising and training student employees
  • assist with scheduling, logistics, securing resources, and facilitating one or multiple student affairs programs, activities, and/or services
