The Arts Events Coordinator role within the Conservatory of Music is a unique and dynamic position focused on the coordination and successful execution of major concert and event productions. Reporting directly to the Manager of Arts Events & Operations, this role is pivotal in ensuring seamless production support for a range of events such as the Chicago Symphony Orchestra performances, the Christmas Festival, Children’s Concert, Commencement Concert, and other assigned performances. As a 0.88 full-time equivalent (FTE) position, the role involves averaging 40 hours per week for nine months and 20 hours per week for three months, totaling 1,830 annual work hours. Compensation for this role ranges from $23.00 to $24.50 per hour.
Key responsibilities include serving as Head House and Stage Manager for major events, overseeing student staff recruitment, training and supervision, and managing box office and front-of-house operations. The coordinator will also act as the lead administrator of the Spektrix ticketing system, responsible for event setup, user management, sales reconciliation, and ensuring that ticketing hardware is maintained and secure. This role requires strong collaborative skills to coordinate with technical teams, hospitality providers, and the Registrar’s Office to deliver exceptional event experiences.
Additionally, the Arts Events Coordinator ensures strict compliance with safety, risk management, and security protocols, including emergency preparedness training for all event staff. The position supports guest artist engagements by handling logistics such as travel and hospitality, and assists the Arts Marketing and Promotions Specialist with event promotion and maintaining online event presence. This multifaceted role demands exceptional organizational abilities, a proactive attitude, and the capacity to manage multiple priorities in a high-profile, fast-paced environment. Given the nature of events, evening and weekend work is expected.

Job Qualifications

Job Duties
- Recruit, hire, train, and supervise student staff supporting arts events including box office operations, front-of-house services, and stage/backstage procedures
- ensure that box office operations are fully staffed and effectively managed at all event venues
- coordinate front-of-house hospitality for major Conservatory events and support hospitality efforts for Commencement
- manage front-of-house and stage operations for medium and smaller-scale events
- recruit, train, and coordinate usher volunteers for major arts events and Commencement
- oversee the administration of the Spektrix ticketing system including event setup, user management, and post-event sales reconciliation
- serve as Head Manager for Conservatory events, overseeing student staff and coordinating with technical teams
- ensure compliance with college risk management, safety, and security protocols including emergency preparedness training
- coordinate guest artist engagements including performance logistics, travel arrangements, and hospitality
- support the Arts Marketing and Promotions Specialist by maintaining event web pages and updating ticketing and promotional information
