The City of Overland Park is currently seeking a full-time Arts and Events Supervisor to join its Parks and Recreation Department. This role is pivotal in executing, coordinating, and supporting community events as well as managing public art initiatives across the city. The ideal candidate will be a creative and detail-oriented professional with excellent organizational and communication skills, capable of delivering memorable experiences for residents and visitors alike. As an Arts and Events Supervisor, you will serve as an essential relationship builder, acting as a representative of the City to numerous external stakeholders including vendors, volunteers, municipal departments, and community partners. The position involves managing small to mid-sized events independently while assisting in the planning and coordination of larger events.
In this role, you will work closely with the Arts and Events Manager, supporting the overall strategic planning and execution of public art programs and special events. Responsibilities include overseeing program logistics, budget monitoring, vendor coordination, and marketing efforts through collaboration with the City's Communications Department. You will ensure seamless event delivery by coordinating internal resources and liaising with departments such as Law, Planning, Public Works, Fire, Police, and Emergency Management. On-site event management, including setup, troubleshooting, and emergency preparedness, will be a critical part of your duties.
Volunteer recruitment and direction during events will also fall under your supervision, requiring strong leadership skills and the ability to motivate teams effectively. Compliance with safety regulations, permit requirements, and city ordinances will be rigorously maintained to guarantee safe and successful events. Additional responsibilities include contract drafting, record-keeping of event details such as expenses and attendance, and conducting post-event evaluations to measure success and identify improvement areas.
The position demands flexibility with work hours, as nights, weekends, and occasional holiday coverage—such as the 4th of July—are expected. Timeliness and professionalism in fulfilling duties and adhering to attendance standards are critical to the role. Job Requirements
- Bachelor's degree in parks and recreation management, event management, marketing, public relations, hospitality, or related field
- Valid driver's license
- Maintain an insurable driving record
- Crowd Management Certification within 6 months of hire
- CPR and first aid certification preferred
- Minimum 2-3 years of event planning and coordination experience preferably in a municipal or non-profit setting
- Ability to work nights, weekends, and holidays including the 4th of July
- Successfully pass background check, drug screen, physical exam, and essential functions test
- Ability to work full-time with a variable schedule
- No residency requirement
- Must be punctual and meet attendance standards
Job Qualifications
- Bachelor's degree in parks and recreation management, event management, marketing, public relations, hospitality, or related field
- Minimum of 2-3 years of experience in event planning and coordination preferably in municipal or non-profit settings
- Experience working with volunteers and supervising part-time or temporary personnel
- Strong communication and organizational skills
- Ability to coordinate complex projects and multi-department collaborations
- Knowledge of public art programming and community event planning
- Ability to manage budgets and vendor contracts
- Proficient in marketing and promotional activities for events
- Skilled in problem-solving and emergency management during events
- Detail-oriented with strong record-keeping abilities
Job Duties
- Support the Arts and Events Manager in planning and covering special events
- Assist in overseeing the City’s fine art collection including planning, curation, maintenance, and inventory
- Coordinate and develop event plans and logistics including vendor information and budget tracking
- Coordinate with internal departments such as Law, Planning, Public Works, City Manager's Office, Fire, Police, and Emergency Management for event execution
- Manage event promotion and marketing efforts with the City Communications Department
- Oversee on-site event management including setup, breakdown, troubleshooting, and emergency management
- Recruit and provide direction to volunteers during events
- Ensure compliance with safety regulations, permits, and city ordinances
- Draft and route contracts for goods and services
- Evaluate event success through post-event analysis and feedback
- Maintain accurate records of event details, expenses, and attendance
- Work required days and hours including nights, weekends, and 4th of July
