The Temporary Artist Services Coordinator position plays an essential role within Northrop Presents, reporting to the Director of Artistic & Community Programs. This temporary role spans approximately six months—from early September to mid-February—with part-time hours averaging 20-24 per week, preferably on Tuesdays, Wednesdays, and Fridays. The key responsibility of this role is to act as the main liaison between Northrop’s various departments and the artists and management teams involved in Northrop Presents engagements. This involves overseeing all logistical aspects of artist visits, including scheduling performances, coordinating hospitality needs, managing transportation arrangements, and ensuring effective communication between artists, producers, and venue staff.
The coordinator is expected to adeptly manage multiple assignments with competing deadlines, ensuring smooth execution of events and optimizing all artist-related logistics. Occasional evening and weekend work is required according to event schedules, with some flexibility for remote work. The role demands excellent verbal and written communication skills, experience with Google Suite applications, and a demonstrated ability to work collaboratively with diverse partners and colleagues. A valid driver’s license is also necessary.
In addition to artist liaison duties, the position includes responsibilities for event coordination, budget and finance documentation related to payments and expense tracking, and general arts administration tasks such as maintaining event documentation, facilitating meetings, and participating in program evaluation efforts. The coordinator plays a vital part in fostering positive relationships within Northrop and with external vendors and partners, maintaining a professional yet welcoming environment for artists and audiences alike.

Job Requirements
- a bachelor’s degree or a combination of related education and work experience to equal four years
- at least one year of experience within performing arts administration or in event coordination and planning
- valid driver’s license
- experience with Google Suite including Google Calendar
- experience coordinating multiple assignments with different and competing deadlines
- ability to work with diverse groups of partners, constituents, and colleagues
- excellent verbal and written communications skills
- availability to work occasional evenings and weekends depending on the event schedule
Job Qualifications
- a bachelor’s degree or equivalent combination of education and work experience totaling four years
- at least one year of experience in performing arts administration or event coordination and planning
- experience with Google Suite including Google Calendar
- excellent verbal and written communication skills
- ability to work with diverse groups of partners, constituents, and colleagues
- previous experience in customer service roles
- familiarity with performing arts, especially dance and music
- valid driver’s license
Job Duties
- provide coordination and oversight for all artist services-related activities at Northrop including operational logistics to ensure smooth event experiences for visiting artists
- communicate with artist representation and company management to coordinate scheduling and itineraries for all artist activities related to Northrop Presents events
- manage artist hotel rooming lists and coordination
- oversee arrival, departure, and residency information for ground transportation coordination
- handle artist hospitality needs
- process artist ticketing and front of house requests such as late seating and comp ticket requests
- advance information to artists and managers regarding contract details and engagement preparation in coordination with the Technical Director
- collaborate with campus providers and external vendors to arrange transportation, lodging, catering, hospitality, parking, accompanists, and other contractually agreed support
- be available onsite during artist engagements or ensure appropriate Northrop staff availability
- execute day-of performance duties including monitoring hospitality food, coordinating merchandise sales, and managing comp ticket requests
- establish and maintain effective working relationships to promote positive teamwork and support Northrop
- process all payment-related documentation to ensure timely payment of artists and vendors
- track artist expenses using established documents
- create and maintain documents to facilitate internal information-sharing regarding Northrop Presents engagements
- assist in coordinating pre- and post-event meetings including preparation of materials and note-taking
- attend and take notes at Northrop Organ Advisory Board meetings
- ensure all Northrop Presents performances and related activities are current on Northrop calendars
- participate in departmental program evaluations including artist surveys and debriefs
- delegate tasks to Artistic Programs & Education Intern as needed
- perform other duties as assigned in support of Northrop's mission
