This full-time, day-shift role in the Administration and Operations department is responsible for greeting and assisting patients, visitors, and families to ensure a welcoming and supportive experience. The Concierge acts as the primary contact for visitors, delivering timely information and facilitating smooth patient flow through appointment coordination, insurance information updates, and point of service activities like copay collection. Job Requirements
- High school diploma or GED
- Ability to work full time during day shifts
- Experience in customer service or healthcare preferred
- Basic knowledge of insurance and medical billing processes
- Strong communication and interpersonal skills
- Proficiency with computer and phone systems
- Ability to assist patients with mobility needs safely
- Commitment to patient safety and quality service
- Knowledge of and adherence to HIPAA and other regulatory standards
Job Qualifications
- High school diploma or equivalent
- Associate of Arts or Science preferred
- Experience in customer service or healthcare environment preferred
- Knowledge of managed care plans and insurance requirements is beneficial
- Proficiency in telephone etiquette and communication skills
- Ability to multitask and prioritize responsibilities effectively
- Familiarity with electronic medical records (EMR) systems
- Strong interpersonal skills with a patient-focused approach
- Commitment to maintaining confidentiality and regulatory compliance
Job Duties
- Provide a welcome to every patient, family member or visitor in accordance with Penn Medicine Academy training
- Initiate greeting and positive interaction to all
- Anticipate and respond to patient, visitor and hospital staff concerns, expectations or needs in a timely manner
- Assist immobile patients out of/into vehicles and wheelchairs safely and courteously
- Manage visitor flow at entrances to assure patients of timely arrival for appointments
- Support all way-finding, including the coordination of outpatient transports
- Collaborate with patients, visitors and hospital staff to deliver coordinated and seamless service, including patient transportation
- Work within a safe environment to prevent falls or other accidents
- Provide services such as calling for cabs, coordinating para-transit, and assisting with hotels, restaurants and public transportation
- Ensure all outside vendors check in with security
- Answer phones promptly, manage patient requests, retrieve voicemails and take messages using EMR
- Schedule patient appointments by following established protocols and using appropriate billing and appointment locations
- Manage arriving and departing activities of patients, perform point of service activities such as collecting copays and updating insurance information
- Communicate with patients regarding flow and wait times and keep management informed
- Issue referrals and obtain pre-authorizations as required
- Maintain knowledge of insurance requirements and billing procedures
- Accurately record receipts and participate in cash reconciliation
- Resolve work queues and prioritize recovery of missing charges
- Order office supplies and generate process reports
- Ensure compliance with all applicable federal, state, and local regulatory standards
