The role of Alumni House Manager is a critical position within the Office of Alumni Engagement, which is part of the University Advancement Division. This office is dedicated to cultivating and maintaining strong connections with UNCG alumni, fostering their interest and loyalty through strategic program planning and communication efforts. The Alumni House Manager is responsible for overseeing the Alumni House facility, which serves as a venue for campus, alumni, and community events. The primary responsibility of this role involves managing the operations of the building, including maintenance schedules, coordination with campus services such as Catering, Facilities, Risk Management, and Public Safety, and ensuring compliance with university policies.

In addition to facility management, the Alumni House Manager actively markets the Alumni House to maximize revenue through event bookings and rentals. This role requires comprehensive oversight of event logistics, including bookings, confirmations, billing, and collections, as well as hands-on involvement in event setup, breakdown, and cleanup. The Manager is also tasked with supervising event staff, training personnel, and managing administrative functions related to the facility and its use.

The position demands exceptional organizational and project management skills to juggle multiple priorities effectively. Strong customer service abilities and communication skills are essential to interact professionally with alumni, university staff, volunteers, and external partners. The Alumni House Manager also plays a vital role in financial oversight, including budget management, revenue forecasting, and contract negotiation related to event rentals.

This full-time, staff-level position operates primarily during the standard business hours of 8 AM to 5 PM, Monday through Friday, with occasional duties in mornings, evenings, and weekends as required by event schedules. The salary range for this position is $59,311 to $61,874, reflecting its crucial function within the Alumni Engagement department. This role not only supports the university's alumni network but also contributes to the larger mission of University Advancement by fostering meaningful relationships that benefit both the institution and its graduates.

Job Requirements

  • Bachelor's degree and one year of experience related to the area of assignment or equivalent combination of training and experience

Job Duties

  • Oversee and manage the Alumni House facility
  • Actively market the facility to enhance and maximize revenue generation
  • Direct event operations for the Advancement Division
  • Develop and review annual preventative maintenance and upkeep schedules
  • Coordinate necessary campus services such as Facilities, Catering, Risk Management, and Public Safety
  • Handle all aspects of rental reservations including bookings, confirmations, billings, collections, and maintaining records
  • Assist with event setup, breakdown, and cleanup
  • Supervise event staff and serve as front desk supervisor
  • Manage rental contracts including fee structures and room setup coordination
  • Oversee post-event evaluations and prepare monthly management reports
  • Provide data analysis and track facility usage
  • Develop and maintain organized filing systems for all documents
  • Train staff to perform administrative duties and support Alumni House activities
