The role available is for a Front Desk Patient Coordinator, also known as an Aesthetic Care Coordinator. This position is vital as the first point of contact, representing the face and voice of this luxury medical spa. The ideal candidate thrives in a polished, service-driven environment and is passionate about delivering a concierge-style patient experience that reflects the high standards of 22 Plastic Surgery and Spa MD. Responsibilities include greeting patients with warmth and professionalism, managing appointment scheduling and coordination for various treatments including injectables and consultations, and ensuring the front desk operates smoothly with immaculate presentation and organization. This position requires a blend of administrative skill and hospitality excellence, ensuring that every patient interaction is seamless, comfortable, and memorable. Further duties encompass managing patient communication across phone, text, and email, maintaining accurate documentation within electronic medical records (EMR) systems, and upholding strict HIPAA standards and patient confidentiality. The candidate will also oversee inventory management for esthetic products and collaborate with team members to enhance the overall guest experience.
This is a full-time role with working hours Monday through Friday from 9:30 am to 6:00 pm. Job Requirements
- High school diploma or equivalent
- 2+ years of front desk, patient coordination, or hospitality experience (medical spa, plastic surgery, dermatology, or luxury service industry preferred)
- exceptional interpersonal and communication skills
- strong organizational skills with keen attention to detail
- experience with EMR systems (e.g., Symplast, Aesthetic Record, Nextech) preferred
- ability to multitask while maintaining a high level of service and composure
- professional appearance and demeanor aligned with a high-end brand
- excellent communication and interpersonal skills
- ability to multitask and work in a fast-paced environment
- proficient in Microsoft Office and spa appointment scheduling software
- knowledge of medical spa and plastic surgery services and products is a plus

Job Duties
- Greet patients with warmth, professionalism, and a refined, welcoming presence
- deliver a white-glove, concierge-style experience from check-in through departure
- anticipate patient needs and ensure a seamless, comfortable visit
- maintain a calm, polished demeanor in a fast-paced, high-touch environment
- answer phone calls and respond to emails in a timely manner
- provide information about services and products
- manage and optimize provider schedules for injectables, aesthetic treatments, and consultations
- coordinate appointments with attention to timing, treatment preparation, and provider preferences
- ensure all intake forms, consents, and documentation are completed properly
- confirm appointments and manage cancellations or rescheduling with professionalism and efficiency
- serve as a knowledgeable point of contact for patients regarding services, providers, and offerings
- build and maintain strong patient relationships to encourage loyalty and retention
- handle phone, text, and email communication with a polished and articulate tone
- maintain accurate patient records and documentation within EMR systems
- process payments, financing options, and product purchases with discretion and accuracy
- ensure front desk presentation is immaculate, organized, and reflective of a luxury environment
- uphold HIPAA standards and maintain strict patient confidentiality
- daily management of esthetic backbar and injectables inventory
- collaborate with other team members to ensure a seamless guest experience
