The role of Intake Coordinator at Twin Lakes Recovery Center is a part-time position essential to the smooth operation and welcoming atmosphere of the facility. The coordinator will also handle critical duties such as managing a waiting list, setting up transportation for admissions, and documenting all activities in the Customer Relationship Management system for compliance and operational tracking. This role requires strong interpersonal skills and a comprehensive understanding of healthcare admissions protocols, particularly within mental health and substance abuse treatment settings.

Job Requirements

  • High school diploma or equivalent
  • Experience in healthcare admissions preferred
  • Knowledge of client assessment, treatment planning, and referral processes
  • Ability to communicate effectively with clients, families, and healthcare professionals
  • Familiarity with insurance verification and related administrative tasks
  • CPR certification and de-escalation training
  • Strong interpersonal and organizational skills
  • Ability to document and maintain records accurately

Job Qualifications

  • High school diploma or equivalent
  • Bachelor’s degree in social work, psychology, counseling, or related field preferred
  • One or more years’ experience in healthcare admissions preferred, ideally in mental health or substance use disorder field
  • Experience in client assessment, referral, treatment planning, and communication with external review organizations
  • Knowledge of community resources
  • Outstanding interpersonal, interviewing, and assessment skills
  • Skill in telephone etiquette and paging procedures
  • CPR certification and de-escalation training required

Job Duties

  • Conduct pre-admission assessments
  • Complete admission pre-certification as needed
  • Interview clients, family members, and collateral sources to assure intake criteria are met
  • Review prospective admissions against approved admission criteria, policies, and procedures
  • Generate, guide, and lead discussions with referral sources for client support, conflict resolution, and business development
  • Respond and react to the needs of referred clients
  • Assess family needs for mediation, sober escort, and intervention and determine appropriate professional resources
  • Decide which interventionist and facility to recommend including dates and travel
  • Work closely with other departments and external parties to ensure timely admission of clients
  • Document daily activities, contacts, appointments, and events in the designated Customer Relationship Management system
  • Maintain all admissions documentation
  • Complete insurance verifications for all clients per CBO guidelines
  • Screen calls from referrals and set up transportation for admission
  • Maintain a waiting list for admissions and stay in contact with potential candidates
  • Greet and assist clients, visitors, and staff at the front office
  • Oversee traffic flow and incidents in the lobby area
