The Administrative Support Specialist position at SCEL plays a vital role within the Finance/Operations Department under the general supervision of the Director of Operations. This role serves as the primary liaison for mail services and the receptionist within the Customer Services area at the Columbia Business Office. The role is integral to maintaining day-to-day operational efficiencies by managing mail handling, visitor reception, and various administrative support duties. As an at-will employee, the Administrative Support Specialist is not covered by the State Employee Grievance Procedures Act, emphasizing a flexible employment relationship.
In this role, the Administrative Support Specialist will handle all aspects of the mail room, including sorting mail, coordinating deliveries and pick-ups, and making necessary trips to the post office. They will accept, log, and route deliveries for all Columbia Business Office staff, ensuring timely and accurate distribution. The position also involves greeting visitors, answering telephones promptly, issuing and tracking guest badges, and providing essential information to the public. Managing the inventory of SCEL vehicle keys and associated logs such as mileage, maintenance, and fuel consumption falls under this role as well.
Apart from these primary responsibilities, the Administrative Support Specialist will perform miscellaneous recordkeeping tasks, such as maintaining inventory asset organization and assisting with facilities maintenance coordination as needed. The role requires strong interpersonal skills to support SCEL staff with various special projects and programs, as assigned. This comprehensive support function promotes efficient office operations and a welcoming environment for both staff and visitors.
The position offers a consistent Monday through Friday work schedule, from 8:30 AM to 5:00 PM, including a one-hour lunch break. Employees work 37.5 hours per week but are compensated for 40 hours, reflecting SCEL's commitment to fair employee compensation. Job Duties
- Performs daily functions of the mail room including sorting mail coordinating deliveries and pick-ups and running mail to the post office
- Accepts logs and routes deliveries for all Columbia Business Office staff
- Serves as receptionist by answering telephones greeting visitors issuing and tracking SCEL-issued guest badges and providing information in response to inquiries from the public
- Maintains SCEL vehicle keys and manages associated mileage maintenance and fuel logs
- Completes miscellaneous recordkeeping as requested including inventory asset management and organization
- Assists and coordinates with facilities maintenance as requested
- Supports SCEL staff with special projects or programs
- Performs any other duties as assigned
