The role of Administration Receptionist at MWVCAA is a key frontline position responsible for providing essential telephone coverage, reception, and clerical assistance to ensure smooth and efficient office operations. This position requires a professional demeanor, strong interpersonal skills, and the ability to handle a wide range of administrative tasks. The Administration Receptionist serves as the initial point of contact for visitors and callers, offering a welcoming presence while guiding them to appropriate resources or personnel. Duties include answering multi-line telephone systems, managing in-person inquiries with tact and empathy, distributing mail, performing word processing and photocopying, filing, and supporting various administrative projects as assigned by supervisors.
This position is vital in maintaining effective communication channels within the agency and with its clients, staff, and community partners. Successful candidates must demonstrate bilingual proficiency in English and Spanish, as this skill is essential for interacting with MWVCAA’s diverse population. The agency requires candidates to pass background screenings and drug/alcohol testing before employment. While this role does not involve supervisory responsibilities, it demands excellent organizational skills and a calm, professional attitude, especially when managing potentially difficult situations involving visitors or callers with urgent needs or complaints.

Job Requirements
- High school diploma or general education degree (GED)
- One year of office or clerical related experience
- Equivalent combination of education and experience may be considered
- Pass a comprehensive MWVCAA background screening prior to employment
- Successful registration with the Central Background Registry of the Child Care Division
- Pass pre-employment and random drug/alcohol screenings
- Demonstrate bilingual English-Spanish skills by passing a bilingual exam
- Ability to answer telephones and interact professionally with clients and visitors
- Capability to handle office equipment and manage clerical tasks
- Ability to de-escalate upset visitors and follow emergency procedures
- On-site work required
- Must comply with MWVCAA safety and personnel policies
Job Qualifications
- High school diploma or GED
- One year of office or clerical related experience
- Basic proficiency in computers including Microsoft Word, Excel, Outlook, and database software
- Effective interpersonal communication skills both oral and written
- Demonstrated tact, diplomacy, and empathy in communication
- Bilingual English-Spanish with ability to speak, read, and write fluently
- Successful completion of bilingual exam for language skills
- Ability to pass comprehensive background screening
- Ability to pass pre-employment and random drug/alcohol screenings
Job Duties
- Answers multi-line telephones in a positive, timely manner
- Provides basic program information for all agency programs
- Screens and transfers calls appropriately
- Takes thorough and accurate telephone messages and delivers them promptly
- Greets visitors to the office and provides friendly, informative service
- Assists visitors by answering questions and making referrals
- Processes incoming and outgoing agency mail using office equipment
- Provides clerical support including typing and photocopying
- Maintains administrative supplies and coordinates service repairs
- Logs and secures stamps, vouchers, gift cards, bus passes, and checks per finance procedures
- Distributes paychecks according to guidelines including ID verification
- De-escalates visitors with complaints and contacts emergency services if needed
- Supports HR procedures during new staff orientation and committee meetings
- Administers volunteer registration and background checks
- Participates in rotating kitchen duties
- Complies with MWVCAA safety and personnel policies including punctuality and attendance
