This job opening is for the position of Administrative Receptionist, reporting directly to the Principal. This is a full-time, 12-month, non-exempt role with a salary range of $22.00 to $25.00 per hour, depending on experience. The Administrative Receptionist serves as the first point of contact for visitors and callers, playing a vital role in creating a welcoming atmosphere on campus. Responsibilities include managing the school's main phone line, greeting guests, maintaining visitor security protocols such as check-in procedures and badge issuance, and ensuring that visitors and staff feel comfortable and informed.
In addition to front desk duties, the position encompasses maintaining accurate student attendance records, processing tardies, early dismissals, and verifying absences using the FACTS-SIS system. The receptionist also supports a variety of ancillary office duties such as managing school calendars, directories, mailroom tasks, and assisting with communications like proofreading campus newsletters and helping with parent service hour notifications. This role requires a versatile individual able to work efficiently in a fast-paced setting, handle confidential information with discretion, and communicate effectively with students, staff, parents, and the public. Proficiency in Spanish is essential, enhancing the ability to connect with the diverse school community.

Job Requirements
- High school diploma or GED
- Two to three years experience in an office or school setting preferred
- Ability to operate a variety of office equipment including photocopier, fax, and personal computer
- Ability to type approximately 40 w.p.m.
- Intermediate knowledge of word processing and spreadsheet software
- Ability to work with confidential information
- Ability to communicate effectively with youth and adults
- Ability to work in a fast-paced environment with multiple priorities
- Ability to speak Spanish
- Excellent oral and written communication skills
- Exceptional customer service skills

Job Duties
- Answering the school’s primary phone number
- Recording and redirecting messages left on the main phone line
- Maintaining the greeting(s) used for the school’s primary voicemail
- Greeting all visitors to the campus
- Notifying faculty/staff members of guest arrivals
- Issuing appropriate lanyards, badges, and/or ID certificates
- Maintaining the school’s visitor check-in system (VisitU)
- Maintaining main conference room use calendar
- Updating school’s Carpool Directory as needed
- Maintaining staff and faculty directory
- Managing mailroom box assignments and labels
- Placing USPS mail daily into mailboxes
- Updating information on School Marquee as needed
- Picking up messages from Attendance Line
- Reading Attendance emails
- Entering daily tardy slips in FACTS-SIS
- Providing students with Off Campus Permits
- Entering Pre Planned Absences
- Recording early dismissals and absences in FACTS
- Entering all early dismissals for sports in FACTS
- Calling parents for absent students with no call or email
- Entering attendance for substitutes
- Creating and printing labels
- Assisting with mailings when requested
- Sending faxes and placing received communications into appropriate mailboxes
- Proofreading various campus communications
- Assisting in notifications related to Parent Service Hours
- Assisting in annual graduating senior recognition activities
- Providing general assistance to the principal
- Assisting the Health Office, Admissions, and Business/Finance Office as needed
