We are currently seeking a highly skilled and experienced Office Manager to join our team in a key leadership role. As the Office Manager, you will act as a crucial liaison between executives and both internal and external partners, ensuring seamless communication and operational efficiency. The successful candidate will also be responsible for partnering with various departments across the organization to support operational alignment and help achieve overarching business goals. You will oversee vendor management, including negotiating and maintaining relationships with office suppliers and contractors, making sure the office operates within budget and meets quality standards. Managing cross-functional administrative projects is another vital component of this role. This position requires close attention to detail and the ability to complete projects on time and within organizational goals.

In this position, your responsibilities will extend to scheduling, calendar management, and travel arrangements for key executives or leadership team members. Additionally, you will assist in reviewing vendor contracts, drafting and revising office policies, and optimizing daily office operations including supplies management, office space allocation, and compliance adherence. You will identify inefficiencies and implement solutions to improve workflow and boost overall organizational efficiency.

Furthermore, this role involves planning and coordinating meetings, events, and company initiatives across multiple teams and departments to maintain consistency and foster teamwork. Ensuring a smooth and adequate flow of information within the company is essential to support business operations effectively. Inventory management and budget-conscious purchasing decisions are part of your day-to-day duties, alongside the continuous development and improvement of administrative systems, policies, and procedures. This position is best suited for a motivated leader with at least six years of combined experience in project management, executive assistance, or administrative operations who demonstrates professional discretion, exceptional communication skills, and the ability to manage multiple projects efficiently.

Job Requirements

  • Minimum 6+ years of combined experience in project management executive assistance administrative operations or equivalent roles
  • bachelor's degree in business administration management or a related field
  • proven experience leading and managing a team in a professional setting
  • experience working with external vendors managing contracts or overseeing service agreements
  • proficiency in office software suites such as Microsoft Office Google Workspace and project management tools like Asana Trello or similar
  • demonstrated ability to handle sensitive and confidential information with discretion and professionalism
  • ability to plan for and keep track of multiple projects and deadlines
  • excellent verbal and written communication skills
  • exceptional leadership and time task and resource management skills
  • strong leadership abilities with a team-focused and solutions-oriented approach
