This entry-level position on the Corporate Events Team at UPMC is an exciting opportunity for individuals looking to launch their careers in event planning and coordination. The role involves supporting catering operations and collaborating with experienced event professionals in a fast-paced and constantly evolving environment. This position provides invaluable hands-on experience in the full event lifecycle—from initial planning documents such as overviews, agendas, and budgets to the actual event execution including logistics and on-site support. Working Monday through Friday from 7:00 AM to 3:30 PM, with occasional evening and weekend assignments, the successful candidate will gain exposure to a variety of events, developing skills in administrative support, communication, problem-solving, and event management. This position is ideal for someone who has some prior event or administrative experience and is eager to build a strong foundation in the events industry within a respected healthcare institution.

Job Requirements

  • High school diploma or equivalent
  • Must be 18 years or older
  • Five years experience in administrative support roles
  • Advanced proficiency in Microsoft Office Suite
  • Excellent writing and communication skills
  • Acute attention to detail and judgment with confidential information
  • Ability to stand for long periods and lift up to 50 pounds
  • Reliable transportation
  • Ability to work weekdays with some weekends and evenings
  • Willingness to obtain RAMP and ServSafe certifications within 90 days if not already certified

Job Qualifications

  • High school diploma or equivalent
  • Five years of progressive experience in administrative support
  • Proven high-level administrative skills with events experience preferred
  • Advanced skills in Outlook, Teams, and Microsoft 365
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational abilities
  • Ability to analyze data and use discretion
  • Calm and solution-oriented in high-pressure environments
  • Reliable transportation for office and off-site events

Job Duties

  • Provide administrative support to the events team
  • Assist in coordinating high-level events
  • Prepare planning documents such as agendas, budgets, and tracking spreadsheets
  • Create event-related signage, menus, and branded materials
  • Research event venues and logistic options
  • Coordinate with multiple business units and departments
  • Assist with event set up and tear down including tables, chairs, linens, and AV equipment
