The Administrative Operations team within the Oncology Department at St. Jude presents an exciting opportunity for an Administrative Coordinator to support the department’s dynamic Leukemia/Lymphoma Division. This role is integral to ensuring smooth daily operations, effective communication, and collaborative success across various faculty members and administrative functions. The Administrative Coordinator will serve as a central point of contact within the division, handling diverse tasks such as managing office supplies, coordinating calendars, overseeing vendor contracts, planning events, and supporting budget tracking and financial reporting. This position also involves supporting senior faculty members by managing communications and assisting with professional documentation, such as faculty curricula vitae, ORCID profiles, and publication monitoring. With a focus on organizational excellence and team mentorship, the successful candidate will contribute to a positive workplace culture while enhancing departmental efficiency. The role offers an hourly salary range from $26.00 to $45.50, reflecting a recognition of skills, experience, and training. Job Requirements

  • High school diploma or GED required
  • Bachelor’s degree preferred
  • Minimum 6 years experience in administration or related area
  • Bachelor’s degree and 2 or more years experience in administration or related area considered as experience exception
  • Experience in event coordination and vendor management
  • Experience managing communication with variety of stakeholders with tact and sensitivity
  • Experience managing documentation generating reports and doing simple analysis
  • Proficiency with Microsoft Office including Word Excel and PowerPoint

Job Qualifications

Job Duties

  • Manage day-to-day administrative operations as the primary point of contact for faculty members within the Leukemia/Lymphoma Division including office supply management calendar coordination email and telephone communications vendor contract tracking and maintenance mail distribution event planning and coordination badging and visitor management and collaboration with internal teams on financial systems and related processes
  • Coordinate and serve as a liaison with internal teams and external vendors to accomplish departmental goals facilitate project completion support faculty and administrative initiatives and ensure effective communication and collaboration across stakeholders
  • Track budget create variance reports and analysis for own department while working with departmental managers
  • Create a filing system develop standard reports maintain databases and spreadsheets to provide accurate and timely information while protecting confidential data
  • Support senior faculty members and multiple leaders in managing communications general administrative responsibilities including updating and maintaining faculty curricula vitae CVs ORCID profiles and required biosketches as well as managing publication and citation alerts in PubMed and Web of Science
  • Support recruitment process by developing and coordinating itineraries for departmental visitors or new recruits including senior members
  • Contribute to the creation and preparation of documents including presentations manuscripts grant proposals reports and other professional materials
  • Maintains regular and predictable attendance
